Changing Portfolio and Item Types - Impact on Data

Hi Folks,

I have a scenario where we have 2 portfolios and around 25 portfolio item types (PPM5.0). Unfortunately, this has resulted in an overly complex system that does not meet the business needs. Ideally, there should be only 1 portfolio and 2-3 portfolio item / project types.

So here's my question. If we change the setup to 1 portfolio and 2-3 item / project types;

  1. How do we move existing items from portfolio A to portfolio B?
  2. Considering that portfolio items and projects are different statuses, what what is the best way change the portfolio item type and corresponding project types for existing portfolio items and projects?
  3. Is there anything else we need to consider?

I am assuming we will have to do some custom development for these. Hoping somebody here has gone through this and/or can share some ideas/options.

Hello Lashan,

1 In a standard way  It is not possible move one item to one portfolio to another. As fas as I know you need to create the item in the new portfolio.

Transaction RPM_DX_ITEM lets you create a change items, not sure if you use this transaction you can change the :

- Portfolio, Bucket and fields that are not configured in the new portfolio but not in the old one.

2) If the previous option works... ( that I am not sure) you will have the items in the corret status but the projects in a wrong status ( old status).

You can synchronize that when you set status A in the item the porject is set to status B

Thanks for your suggestions Clara, I did consider using RPM_DX_ITEM, but it seemed like a lot of work which at the moment we don't have in the plan.
