The SAP SuccessFactors 1H 2024 release introduces interesting enhancements to streamline the offer letter process. With the new "Configure Rule to Preselect Offer Letter Templates" feature, HR professionals can now automate template selection based on predefined criteria, optimizing efficiency and ensuring consistency. Additionally, the "Configure Business Rules to Add Conditional Sections in Offer Letters" empowers users to tailor offer letters dynamically, incorporating specific sections based on individual circumstances. These advancements signify a significant leap forward in personalized and efficient HR operations, promising enhanced user experience and streamlined processes.

 

Business Use Cases:

  1. This offer letter preselection functionality streamlines the offer process, ensuring that the appropriate offer letter template is selected automatically for recruiters, saving time and reducing errors.
  2.  The ability to add conditional sections in offer letters allows HR teams to personalize the content based on specific conditions such as the candidate's location, experience level, or role requirements.

Combined, these two business rule scenarios reduce the amount of time and effort Recruiting users spend in generating offer letters by selecting the template and letting them add tokens in place of writing paragraphs.

 

Pre-requisite to add Conditional Sections in Offer Letters:

1. Ensure that you have permission Manage MDF Recruiting permissions> ConditionalOfferLetterToken.

2. Once you have this permission, you can go to Manage Data and search for the option called ConditionalOfferLetterToken. Clicking Take Action, and Make Correction allows you to change the label for a token to assist users in knowing what each token will contain. The labels can be translated. (Be informed that there are only 100 tokens available for the administrator to configure)

3. Add the created token(s) on the respective offer letter template:

Configuration:

Now, let's see rule scenarios that are located in Recruiting, in Admin Center >Configure Business Rules when you select + (Create New Rule)

The next step will be for you to create the rules within Business Rules Engine for both these scenarios. Rules can be as simple as adding the text directly into the rule, or very complex, including the use of lookup tables. Using extended functionality makes it possible to add formatting to offers, including images. You are also able to add HTML formatting like <b>, <br> or <p>.

Preselect Offer Letter Template Rule Sample: My if condition is for a specific offer letter template to be preselected, if the candidate's country of residence is "United Stated".

Add Conditional Sections in Offer Letters Rule Sample: I have used "IF" and "Else IF" conditions for the tokens to populate different verbiage on the same offer letter based on the job's employment type.

The next step will be for you to assign a new rule, go to Manage Rules in Recruiting Job Application. Choosing a template from the Job Requisition Template dropdown list expands the Template-level Rules section to display Rule for Offer Letter Template Selection. Click on Add a Rule below it to select and assign the rule scenario to the rule.

At this point in time, you have completed all configurations necessary. You should now be able to go ahead and test your configuration.

Based on the configuration, when the recruiters go to select the offer letter for the candidate, the appropriate offer letter will be preselected. The recruiter still has the flexibility to select other offer letters from the list available in the section as far as they have permissions to it. The preselection will reduce letter selection and error in selection.

When the recruiter previews or clicks on next step from there, based on the Add Conditional Sections in Offer Letters rule, if the rule conditions are met, (from the above example) only one of the tokens will resolve into a paragraph and the other token will disappear & will not resolve.

In conclusion, by implementing these configurations, recruiters can streamline their workflow and reduce the time spent on repetitive tasks, allowing them to focus on more strategic aspects of recruitment.
