When running Period-End Closing from Administration → Utilities, sometimes the user may encounter the following error:

To generate this document, first define the numbering series in the Administration module [Message 131-3]



 

There 2 possible reasons which may lead to this error.

 

  1. The issue described in SAP Note 2701315


The scenario in the note is related with “Multiple Branches” function and it has been fixed in 9.3(H) PL07.

The solution will be to upgrade the system to 9.3(H) PL07 or higher.

 

  1. This might also be related with the Document Numbering Series defined for Journal Entries.


When the system is already in 9.3(H) PL07 or higher or/and “Enable Multiple Branches” is not checked in Administration → System Initialization → Company Details → Basic Initialization tab, the user shall check whether the numbers of the default Series of Journal Entries is used up or not which is defined in Administration → System Initialization → Document Numbering.

 

But sometimes, there seems still enough numbers left in the default Series.


 

Then why does this error still occur?

 

Period-End Closing will create 2 Journal Entries for every row.

So even if there are still many available numbers left in the default Series, when there are too many rows, the left numbers are still not enough.

For example, if there are 1500 rows checked in Period-End Closing running, there will be 3000 Journal Entries created by the system.

 

How to solve it?

Update the Last No. of the default Series of Journal Entries to make more available numbers.


Or

Set another Series with enough numbers as default instead.
