Prerequisites to enable eDocuments

  • Configure Communication arrangement and Communication System

To enable eDocuments, you need to configure a communication arrangement and communication system. This involves setting up a new communication arrangement for each system you want to use for eDocuments.

To guide you in this process, kindly follow the SAP Help Colombia Integration.

  • eDocument Solution Activation

The activation of the eDocument takes into account the country's location, specifically in the case of Colombia and it can be done through SSCUI 105518 Activate Document and Reporting Compliance Features, as you can see below:

Maintaining Initial Configuration

  • Maintain NIT Configuration

In Colombia, individuals and businesses are required to obtain a Tax ID, referred to as the "Número de Identificación Tributaria" or NIT. This essential identification number is issued by the tax authority and plays a crucial role in identifying and tracking taxpayers within the Colombian tax system.

Considering that this is an individual number, a configuration at the company level is necessary for the Colombia eDocument. It can be done through SSCUI 102739 Maintain Additional Parameters.

  • Configuring Value Ranges

To set up numbering ranges for the eDocument cockpit documents, it is mandatory for the Colombia eDocument. Thus, kindly refer to SAP Helplinks below for clear guidance regarding this configuration:

  • Configuring Value Mappings

The Value Mappings are responsible for determining which specific value will be used to fill a particular field in the XML file. These values can be maintained in the Configure Value Mapping app, following SAP Help Configuring Value Mappings. The mandatory Values are: CUSTOMIZATION_ID, DOCUMENT_ID_TYPE, PAYMENT_MEANS, PAYMENT_MEANS_ID, SOFTWARE_INFO, TAX_LEVEL_CODE and TAX_TYPE_CUSTOMER.

  • City Code Configuration

To carry out tasks on eDocuments, it is important to set up the main data of your customers and company code, which also involves including the City Code details. We kindly suggest you refer to the SAP Help provided below, which offers a comprehensive explanation of how to accomplish the task: 

Colombia Master Data

Also, kindly ensure that the SSCUI 105651 Edit Addresses for Company Codes is fulfilled as mentioned in SAP Help Maintaining Addresses for Company Code. It is important to make necessary changes to the city information to ensure that the city code is up to date.
