Successful Archiving of MM_EKKO

Hi Experts:

We have started to Archve MM_EKKO. We are deleting large amounts of PO Data. We had written about 80,000 PO's. We tried running the MM_EKKO delete program but it would short dump because of too much data. SAP suggested making the files smaller.

Does anyone have experience on how many PO's will easily arcive and delete? Does anyone know from experience how frequently (monthly, bi-weekly or weekly) this archiving should be done?

I run archiving for POs just once a year, and 80000 is a small number for me.

Your problem is in cusotmizing of the archive. There you define how big one archive can be or how much documents one archive shall take.

The value entered here does not restrict you of archiving more documents. SAP just makes a logical break and creates a second archive, or a third etc until all your selected POs are archived.

Go SARA, enter MM_EKKO, click the customizing button

select the cutomizuing of archiving object.

Here you have 2 fields in the upper section of the screen, to specify either the file size, or the number of documents.

Dont enter both, just one number is enough.

I recommend to use file size. As each document can have a different size, so you never know how big your archive will get, if you enter a number of documents. (Some POs have just one item, other maybe hundreds, so it is with PO history too)

We are using 80 MB file size.

We made this decision together with basis guys, based on information what we plan to do with the archives. E.g. moving it to an extra storage server, building indexes for PBS software which we use to access archived documents, how much memory space is available and some more parameters.
