Workbook without Assigned Roles

Dear BI Experts,

I need your help to assign a workbook in the workbook storage of the server, back into a roles folder. Here is my scenario:

I created a new workbook and assigned it to a role in Dev.

My Dev system got a system refresh from my Prod system. Before the system refresh, I saved my workbook into a transport, and then re-applied it back to Dev after system refresh. The issue here is that I did not save the roles folder of the workbook into the transport.

So now, after I re-applied the transport to Dev, the workbook exist in the server, but not in the role folder. When I ran BEx and try to find the workbook in Dev, it could not find the workbook.

I ran RSWB_ROLES_REORG program, and the workbook is listed as Workbook in the workbook storage, but not in any roles folder (Unused). I also ran function module RSBB_WORKBOOK_AGR_GET and did not see the role in the E_T_AGR table.

Please provide me the steps to assign the workbook in the server to a role folder.

Hi Diego,

I could not find or open the workbook in BEx in the first place, as it was not assigned to a role. Therefore, I can't assign the workbook to a roles in BEx.

You can assign the workbook to a role directly in the Role Maintenance screen (tcode PFCG).

Go to the Menu tab there in change mode and choose the folder into which you want to put the workbook. Click on the 'Report' button at the top of the Menu screen, then choose the 'BW Report' radio button.

You can then enter the 'Report ID' (i.e., Workbook ID) of the desired workbook. (You may want to look this up in advance in the Admin Workbench using the Metadata Repository --> Workbook option.)

The workbook will then appear in the role menu with a "default" name of something like "New Report", which can be changed to the correct description for the workbook.

Hi Kevin,

You can open the workbooks with the Bex Analyzer and assign them to the roles manually.
