Recipient determination of email and notification alerts for tasks/appointments

Former Member

Dear all,

I have a question regarding the Recipient determination upon creating e-mail and notification alerts for tasks and appointments. We have some custom party roles, which are assigned to both tasks and appointments (Involved Parties for Tasks/Appointments), however they only appear for E-mail alerts for Tasks - but not for E-mail alerts for Appointments and for Notification alerts for either of them.

E-mail alert for Tasks: here you see, for example KAM, Test participant, .. informed (cc), ..Participant

But in case of the following alerts, they are not displayed in the drop-down for Recipient Determination.

Notification alert for Tasks:

E-mail alert for Appointments:

Notification alert for Appointments:

Could you please help me with this issue?

Thanks in advance, kind regards,

Hi Dorottya,

Have you tried adding the needed part roles to "Involved Parties for Taks/Appointments", because these are the party roles which will be available for the activity types.

But again if this doesn't help then i think this is a fixed list.

Hi Bejoy,

Thanks for your help - yes, the party roles are assigned to tasks as well as to appointments.

I am not sure if this is a fixed list - I just received a screenshot from a colleague: she managed to display parties assigned to Opportunities in her alert Recipient Determination lists. I tried that one too, but the custom parties I assigned to Opportunities are not visible in my alert recipient lists either.

Do you have any suggestions?

Many thanks and kind regards,

Hi Dorottya,

I just tried it out. I added an Z role to the Parties involved for Task.

Refresh the Tenant (or Login again)

Now the Z Roles gets reflected in the List for E-Mail

You can try it out. It will work

Hello Bejoy,

Thank you very much for checking up on this - yes I have done the above steps. For E-Mail alerts for Tasks it is functioning for me, but not in the case of E-mail alerts for appointments or Notifications for either Appointments or Tasks.

Could you please let me know if these configurations work for you in these cases as well?

Many thanks and kind regards,
