Archiving inactive data - CAs and Installations

Hi Experts,

Is it possible to archive the entities Contract-Account without contracts (idle), installations that are not used or set inactive long time ago? I have some idea that this can be done by setting the deletion flag or by setting the field LOEVM in the respective tables (i.e. FKKVKP for CAs and EANL for insatallations).

Is there any other functionality to archive entitites in ISU?

Thanks and Regards,

Gundeep Kaur

Hi Gundeep,

Yes its possible to archive standalone SAP Objects like Contract Accounts\Installations.

However, only setting the deletion flag in the field LOEVM will not suffice.

This is bascially the first step.

Once you have done this, go to transaction SARA and try to run the archival against the object FI_FICA (for Contract acounts) and ISU_FACTS (for Installation facts)

Hope it helps..

Thanks,

Amlan

Hi Amlan,

Thank you for your reply.

Could you please tell me the use and impact of transaction SARA?? Also are there any configurational settings also for archiving the inactive data like CAs and Installations??

Hi Gundeep,

You can go through the following links to get an insight on the archival process-

http://help.sap.com/saphelp_nw2004s/helpdata/en/8d/3e4ca0462a11d189000000e8323d3a/frameset.htm

Before you start archiving, the role 'SAP_BC_CCM_DATA_ARCHIVING' should be assigned to your SAP User ID.

For archiving contract accounts, please refer to the following steps-

1) Goto SARA and give object as FI_FICA.

2) Choose action as WRITE, then create a new variant by giving your contract accounts as input.

If you choose test mode option, the write program of archiving object is executed in test mode. It means archive file is not created.

If you choose productive mode option, the write program of archiving object is executed in productive mode. The archive files are then created in accordance with the selection criteria and other archiving object specific checks

3) Set the Start date and spool parameters and then execute.

4) Go to job overview SM37 and see the job log to check for the file path where the archived data has been kept.

5) You can aloso veiw the archived data from SARA, bu givng the object name and clicking on read button. On clicking it will take you to archive administration Run Read Program. Click execute.

Once you execute, it gives a pop up, from the pop up select your respective file. Click to view your archived data.

Hope its helps..

Thanks,
Amlan.

Hi Amlan,

I tried to run the transaction SARA for installation object (ISU_FACTS), but I got the error that the entry doesnot exists in table ARCH_OBJ. Do I need to maintain this entry in the table in order to proceed with the archiving process or do I need to change any system settings??

Hi Gundeep,

ISU_FACTS is a standard archival Object and you will find it in the transaction AOBJ.

I think, in your scenario, since you are trying to archive the standalone installation, so you have to use the archiving object ISU_EANL.

Hope it helps...

Thanks,

Amlan

Hi Amlan,

When I followed the steps mentioned by you in your previous post, I am getting an error upon hitting the execute button (after maintaining the variant and all other values), that "Maintain the variants for the deletion program first". When I tried maintaining the variant for the delete option, there again I was getting the same error. Could you please let me know the reason for this?

Is it because there is no data in the "Archive Selection" tab in the delete prog??

I am not sure if this is the reason for this.
