How can we use Archivelink for Workflow Attachments?

We currently use business object ZBUS2032 for a credit release WF.

All the attachments (user uploaded like emails, office docs) and notes added to this WF are currently stored in SAP Office tables (SOOD, SOFM, SOC3, SOFFCONT1) and we clear these on a regular basis and end up deleting these attachments - we have far too much traffic going thru SAP Office.

Does anyone have any experience of how we can store ONLY these attachments to a CMS (we use OpenText)?

We already use GOS 'store business documents' to go to Opentext with the appropriate configuration in OAC0, OAC2 and OAC3.

We already have the ZBUS2032 entries in OAC3.

We do NOT want to to change the SOFFDB config and point everything to Opentext.

I'll really appreciate your help.

Thanks.

    Hi Soyab,

a customer I'm working for is using open text for an invoice approval workflow.

All invoices are being scanned and stored in the archive via transaction OAWD ( to be customized via OAWS ). OAWD also starts the workflow.

In the workflow container we have a container element of BOR-Type Image for every archived document.

Then during the workflow the invoice is being posted and linked to the document.

Via OAWD you can also store scanned documents in the archive and link them to already existing objects.

    Regards,

    Dirk

      Hi Dirk,

OAC0 is correctly configured to point to the Opentext server.

Please would you be able to give me additional details regarding the step to include in the WF?

I'm not a WF expert and want to make sure I pass the correct information to the WF developers.

      Thanks again for your interest.

    Hello,

"stored in SAP Office tables (SOOD, SOFM, SOC3, SOFFCONT1) and we clear these on a regular basis "

I'm surprised to hear this. Doesn't this cause a lot of problems (besides the one you're already experiencing)?

In any case, have you considered change the "clearing" process to exclude workflow attachments?

I'm not sure how they could be identified but it's worth a try.

    regards
