Workflow

Please let me know how to configure a workflow for the following scenario:

1. When a content is created in KM, it needs to be approved by an administrator. The content should not get displayed until it is displayed.

2. When a content is modified, the modificiation has to be approved by an administrator. Until the approval is done, the previous version of the content should be displayed.

3. The approver should be able to specify a substitute approver who can approve in his absence

4. If the approval does not take place with in a specified period of time, it should be escalated to the next person.

We tried doing it by creating tasks/workflow templates but got struck inbetween.

Please let us know how to solve these.

    hi Sameer

    You try for the creation of the work flow from the KM itself. In your Km folder in which documents are stored click the context menu and in the details a popup window comes. In the popup click the settings and there is an approval. Try with this for the approval process. The service and permissions has to be set properly. Also once the document is apploaded or changed it has to be submitted for approval. Otherwise the document get visible to the low end users.

    With this, you can reach your aims 1.), 2.) (first part), and 3.)

    2.) (second part) and 4.) are not able by standard means, but both issues we have sent in to SAP as development requests (the first should be implemented as a combination of approval workflow and versioning, the second is just added functionality).

    I was able to set the approvers and display the document only when it is approved. But there is no mention of substitution in that link.

    Also, I tried setting subscription, so that the approvers are notified immediately. But there is no notification/email sent. Should I enable something else?
