WorkFlow in Appraisal Document SAP HR

Hi all i am Doing Performance Management System for the First time

i was looking at the Configuration in Tcode Phap_Catalog i have seen something like Workflow Event

I want to know wether these event Trigger Workflow Like Send Notification as soon as the Status Change ..

Ex : Notification (External Email) need to be send to the Appraisee to Fill out the Appraisal document ..

Once the Appraisal Document has been Filled by the Appraisee then save it Notification need to be send to the Reporting Manager Appraiser that Appraisal Document have been filled plz log into sap and Review it .. it Accepted Notification (External Email) goes to next level Reviewer to Finalize the Appraisal Document ..

Or Is there any alternative Way of Achieving the Requirement ..

Second Thing to add the Accepted and Rejected Button in the Appraisal Document ..

Which tcode or the Configuration steps to add the Buttons to the Appraisal Document ..

Hello John,

1. Workflow(like Send Notification ) is triggered when an event triggering button is clicked.

2. Just as your screenshot shows. On the top of the tab "status flow" screen, you can see several buttons. The first one is the 'create' button to add buttons to appraisal documents.

(1) We have to Configure the Workflow Objects so that if the Status Change then the Notification Trigger

(2) i want to Add Close , Approve , Rejected ,Complete Button in the Appraisal Document

Plz Suggest how can in Configure it

Hi,

On above screen,

(2) you can click the upper left button to add different kinds of butons to appraisal document.

(1) If the push button maintained on above screen can change the status and also trigger a workflow event, we can say if the status change then the Notfication Trigger.

I have understood the Process of triggering the Document (Notification ) using the WorkFlow Events ..

(A)I have a Small Doubt in this ..

Notification mean Sending an Email ?

If Email then External Email is Possible or it has to be SAP Email .

(B) Or what other Ways of Sending Notification ..

I have status Like In Process , In Review ,  Complete

Sub Status

Self , Appraisal , Review

(C) Iam Not able to  Reject /Accept Button in the Appraisal Document ..

Plz Throw some Light on it ..

Hi John,

(A)Yes, notification and senging email are very similar concepts.
   For standard PA-PD workflows, notification is sent to SAP inbox(in portal, it is UWL). You can also configure it to send emails to external email address.
(B)Besides workflow, there should be no other ways.
(C)If the pushbutton list doesn't have the buttons you want, you need to create your own.

Plz see the Image Below , You can see the Approve/ Rejected / Closed Approve / Closed Rejected

Iam not able to Select these Options ....

Check Marks iam Able to Select it and Change the Status , But Without Check Marks Like

Approved/Rejected /Closed Approved / Close Rejected not able to Select ..

Hi John,

In phap_catalog_pa, on the left side,

first, double click 'Category Group' 'Personnel Appraisals', click 'status flow' tab, make sure the status you need are selected.

second, double click the 'Category' which contains the template you are configuring, click 'status flow' tab, make sure the status you need are selected.

then, on the screenshot you showed, you can select those status.

I've added workflow event in my status flow, but it seems like workflow didn't get triggered.

What are the steps to troubleshoot?

Hi,

Currently i am facing a issue similar to this.That is i am not able to create new outbound status.

Pls guide me on this.

Goto T-code OOHAP_BASIC to create the pushbuttons 'Approve' or 'Reject'.
