Offline Bidding with interactive adobe file - SRM_SOURCING_1

Dear SRM friends,

we are on SRM 7.0 EhP1 and would like to enhance our RFx functionality.

Currently we are creating RFx and send the document by mail to the suppliers. The RFx is attached as PDF.

Now we would like to implement the Offline Bidding functionality.

Following the steps Iu2019ve made in the system:

- Activated Business Function SRM_SOURCING_1 with transaction code SFW5

- Activated Customizing Switch SRM_701_OFFLINE_BIDDING with transaction code /SAPSRM/SW_ACTV

- Assigned the role /SAPSRM/ST_PURCHASER to the purchaser.

- Customizing settings for Offline Bidding (SPRO - SRM Server - RFx - Offline Bidding - Proxy Settings)

-- Specify Host and Port Information

Settings to send E-Mail have been made already by the Basis Team. No special settings made for offline approval. We are able to send e-mails from SAP

-- Select Encryption and Digital Signature Checkboxes

Havenu2019t set the Signature and Encryption. Itu2019s optional.

-- Define Offline User

Defined Offline User WF-BATCH to which a E-Mail address is maintained in the user master data.

- Ticked the flag u201CAllow Offline Biddingu201D in the bidder master data

- Created contact person for the bidder and also an SRM User with role /SAPSRM/BIDDER

-> All prerequisites (as described in help.sap.com) to use the offline Bidding Functionality have been done.

Create RFx

- RFx Type RFQU (SAP standard type)

- u201CAllow Multiple RFx Responses for Each Companyu201D is ticked

- have ticked u201CAllow Offline Biddingu201D

- added bidder for which offline bidding has been allowed in master data

-> Publish

An e-Mail to the bidder is created with smart form PDF attachement but NOT with interactive adobe file.

In SPPFP is only the action STANDARD_BID but not OFFLINE_BID.

In the customizing entry u201CSet Output Actions and Output Formatu201D Action Profile u201CBBP_PD_BIDu201D is an action definition u201COFFLINE_BIDu201D which has been created by the system. Therefore it should work.

Have I missed anything? How can I analyse the behaviour?

Is there a possibility to debug this function?

Hello,

Kindly cross check your configurations for the offline bidding as per the steps provided in the Strategic Sourcing config guide maintained at the belwo mentioned location.

thanks for the quick answer.

I've gone through the configuration guide for strategic sourcing 7.0 EhP1 in our solution manager.

Following the settings I've missed which are not mentioned in the manual for activating offline bidding.

- Digital signature can be activated / deactivated for each transaction type

spro - SAP Supplier Relationship Management - SRM Server - Cross-Application Basic Settings - Digital Signature - Activate Digital Signatures

- Set Output Actions and Output Format

The action for offline bidding has been added by the system automatically but not the condition. I had to add a scheduling for action definition OFFLINE_BID

spro - SAP Supplier Relationship Management - SRM Server - Cross-Application Basic Settings - Condition-Dependent Document Output

- E-Mail address of Offline User

The E-Mail address has to be entered in the business partner details (transaction code BP). The e-mail address in the su01 user master data is useless for the offline bidding.

Dear Stefan,

I know its quite late, but in case you remember the settings for Offline Bidding, kindly help me to resolve my issue.

We have completed all required configuration from the document which was mentioned by Rahul but still action OFFLINE_BID is not getting triggered. Only action 'STANDARD_BID' is getting triggered.

Can you please help to resolve my below queries and let me know in case you think anything specific we need to look into the system which cause this issue.

1. What kind of user we need to maintain as offline user ( SRM Server->RFxOffline Bidding->Proxy Settings->Define Offline User). We configured SAPCONNECT .

2. For Encryption and Digital Signature Setting ( SRM Server->RFxOffline Bidding->Proxy Settings->Select Encryption and Digital Signature Checkboxes ) we maintained no signature and no encryption. Will it make any impact?

3. We maintained the transaction type to activate/deactivate digital signature. But we hope its not mandatory? (Spro - SAP Supplier Relationship Management - SRM Server - Cross-Application Basic Settings - Digital Signature - Activate   Digital Signatures ).

Kindly provide your suggestion ( any missing config, any debugging hint ) so that we could move further to achieve this functionality.

Hi Stefan/ All

We are into SRM 701 and configuring offline Bidding. I followed exactly as in the document but still no email triggered for the supplier.

In SPRO (SRM server-> Cross Application Basic Settings-> Condition Depenedent Document Output), i added new Action definition - Bid Invitation with Processing Details as Smartform Mail. Now when i publish the RFx, email goes with smartform (pdf) attachment. But we need adobe interactive form.

Can you pls. tell, what is the Action definition you maintained in  Condition Depenedent Document Output. As per SAP, need to give Bid Invitation with External Communication (but this doesnt trigger email for me) and not sure why no output medium triggers, if i give Bid Invitation with External Communication

Hi Vinoth,

have you gone through the configuration guide for using adobe ineractive forms.

As long as this hasn't been configured right the system will always just send the smartform.

My collegue of SAP-Basis has made all these settings but he is out of the office at the moment.

One part of these settings was to request the Adobe credentials from SAP - see sap note 736902.

ADS configuration is in place and its working fine, we tested this.

Could you tell me, you gave Action Definition as 'Bid Invitation' and Processing type as 'External COmmunication' in below SPRO path: (SRM server-> Cross Application Basic Settings-> Condition Depenedent Document Output).

I have maintained only 'Bid Invitation' with External Communication. Now i can see the output medium as attached screen shot. I have doubt in this output medium. Can you pls. check in your system and let me know is the output medium is correct or it need to show the Adobe Form name over here

Hi Vinoth,

please check transaction SPPFP - selection and processing of outputs.

In this you are able to see the created/processed outputs with the  action definition

OFFLINE_BID or STANDARD_BID.
