Standard text conversion to Word

Scenario-

In recruitment module(HR) , using transaction PB60 (Maintain applicant activity) , user can select an activity (for example of issuing offer letter, invitation letter...etc) . When you select an activity, and press change activity, a window pops up. From this window you can select the standard text required from F4. These standard texts are nothing but these letters only.

Now , after selecting the standard text , when you say "change letter" , it opens in a Ms Word, so that the user can make changes to it and save.

What do we want-

We need to replicate the same functionality. The available standard texts do not with match our wordings and we also want to display some other fields from infotype 8 in our letters.

Where are we -

I am able to view my standard text but it does not open correctly in Word.

To start with -

Pls go to transaction so10 (text module) text id -PALT , lang -EN , F8. You would notice that in FORM column, for some text id it is SYSTEM , and for some it is SAPSTD.DOT.

Now when it is sapstd.dot, it opens in Word, else it opens in layout.I am facing problem because I am unable to convert it as sapstd.dot.

Also note that for each standard text for eg (invitation), there is another standard text (ww-invitation) which has form type sapstd.dot.

Thanks for the interest taken.

If I copy ww-invitation1 which has form type <b>SAPSTD.DOT</b>my own tags are not copied because it is a converted format !! what I mean is that if in ww-invitation it is written

&ptext-abc&

&ptext-abc1&

&ptext-abc2&

and I want

&p0000-pernr&

This is the problem, that I do not want what is written the script of invitation. (Fine I can change simple text like " congratulation..etc" but how do I get my own script elements in converted file. ww-invitation will always have what is there in invitation, form type "system".

obviously, I will not get &p0000-pernr& in ww-invitation1 because this is a copy of ww-invitation which has been generated from invitation NOT my from my desired format.

All sapstd.dot are converted forms which we can open in word file.

I hope I am clear.

My understanding is that ,

First a standard module which is of form - 'system' type is created.

Then, conversion takes place and the form changes to 'sapstd.dot'.

The issue is HOW TO DO THE CONVERSION?? i.e. convert the form type to 'sapstd.dot' so that it opens in a Word file??

Pls see the obj id 'PALT' and u vud notice that for some ids , the form type is 'sapstd.dot'. This is what I want for my id.

Now what I had intended you to do is :

1. take the one that is already in the SapStd.dot format.

2. change that to suit your requirement

3. attach that to your applicant activity.

Now if INVITATION is in the <b>SYSTEM</b> format and WW-INVITATION is in <b>SapStd.dot</b>, You can alter WW-INVITATION and save it as WW-INVITATION1. Now you just need to assign this to the applicant activities.

I hope what I'm saying makes sense. Please do get back if I go you wrong somewhere.

The solution suggested by you modifies the text in the Word file , but how do I handle script element which I want to add in my letters? For example , sap (standard)letter has the following tags-

EXAMPLE STARTS

&ptext-abc1&

&ptext-abc2&

&adrc-abc1&

&adrc-abc2&

We congratulate you for being seleted .....

but I want,

Dear &p0000-pernr&

You would be paid Rs &p0008-BET01& under &p0008-lgart&.

---EXAMPLE ENDS

What I mean is that its about script element and the conversion which takes place after creating a text module i.e. sapstd.dot form.

Could you pls help me in conversion??

Hello Preeti,

There's this transaction called PBWW. Go there and copy the standard text that you already have in the Word Document format and make any changes to your wording.

Now, when you create / change the applicant activity in the PB60 transaction, the above new Standard Text that you have created is available in the F4. You have to select that and you can thereafter change use the MS-Word application to make ay changes.

I don't think there's really much that we can do using the SO10 transaction in this regard.

FYI, the infotype 4003 ( database table PB4003 ) contains the relevant data for the Applicant Activities.

You might also refer to the SAP IMG under the path <i>SAP E-Recruiting>Applicant Tracking>Activities-->Correspondence</i>.
