Hello Experts,
We are implementing the leave request WF using WS12300111.
We are sending an email notification to the manager in his outlook when an employee has taken a leave.
Let us consider the manager has adopted a substitute in his absence. Now these notifications that go to the outlook of the manager should go to the substitute also when the manager has activated his substitution.
Could you kindly guide us as to how we can go about doing the same.

Can you let us know that how you are maintaining substitutes, Also can you let us know that are you using standard workflow or created a copy of it.
If you are using a custom workflow then from the workflow you create a task in which you should include a method to determine any substitutes are available. if available send along with manin approver even to substitute by usinf sap standard provided mail sending functions. or CL_BCS class.

Thanks for your response.
We are setting the substitute in the UWL. We have created a copy of the Standard Leave Request WS12300111 and have modified the same for sending the notifications.
Could you kindly guide us as to how we can go about trying and finding out whether the substitute has been set though it has been set in the portal.
Could you let me know if a substitute set in the UWL and that set in R/3 would be different. If a substitute has been set in UWL, will the same work with R/3 also.
Kindly let me know as to how we can proceed with the same.

Hi,
In order to send notification regarding the creation/changing/deletion of leave request to the respective manager then I suugest you to make use of the standard report provided by SAP RPTARQEMAIL. This is the standard report which reads all the leave reuqests based on the variants you create. Schedule this report to send the notifications to the respective agents.
Now I do not think that the standard report will be sending email to the substitutes, in that case take a copy of this report and try to re design it in sucha way that you try to read teh table HRUS_D2 where all the substitutes are maintained. So get the substitute details and scheduel the custom report . daily once this would solve your issue.
