Output type not triggering for On Hold PO's.

Dear Seniors,

When i create a PO and put on hold, system is not triggering the output type. But client wants it to trigger. When i take the hold PO and save it, even then it is not triggering the output type. But if i proceed creating PO without keeping in hold, system is successfully triggering the output type. Why it is so? how can i make the settings in order to trigger the output type for the held PO's and held-saved PO's. Kindly let me know please.

There is no standard functionality/setting which will help you acheive that. SAP will only trigger output for Complete Pos / released POs. (i.e which are in a state to be transmitted /sent to vendor)

The On-hold functionality is only an addition for Buyers, if they wish to fill some part of PO and Block a Number and give that number to the vendor for future correspondence, and later they will complete the PO.

Hi Ravi,

Thanks for your reply. As you are saying, it will not trigger for incomplete PO but after some time, user is taking that held PO and saving it successfully, yet the output type is not triggering. It is only triggering only when the PO is not kept in hold.Why is it so?? i have seen a thread in which the person was telling that, the output type was triggering automatically for held PO's. How that would be??

the message record is usually created based on conditions that have to be found using the values that you have already entered in your PO.

if a field needed to find the condition is not yet maintained (maybe the reason why you put the order on hold) then SAP cannot find the condition and hence not create a message.

What is missing in your hold PO? why is it on hold?

which what access sequence (key fields) did you maintain your message conditions?

Don't know why client is keeping the PO in hold but once they get the data, they are filling it and saving the PO but yet the output type is not triggering even though the condition record is maintained properly. If they create PO without keeping in hold, system is triggering the output type correctly. why is it so ? Could you please guide me.

you have to ask your client first why he puts the POs on hold, if there is something missing.

the docu says: ● No messages are output for held and parked purchasing documents even if message determination is activated.

Hi Jurgen,

For held PO's, messages will not trigger, that's fine. But after some days, if the user fills the missing data and saved.But yet its not triggering the message type. Why it is not triggering the message type even after saving the held PO? condition record is available properly.

If you are sure that the condition records are maintained correctly and Output should trigger , then there is no harm is raising an OSS message to SAP support team . Provide them with the relevant system access and test data .

Not many clients use the "Hold PO" functionality, infact SAP has also given a BADI to deactivate the hold functionality all to getehr. So its possible that its a system bug that the output doesnt trigger in such cases.

Thanks for your reply. I found the answer. The reason is the communication strategy assigned to output type is wrong and so, it was not triggering.

Can you please tell us how find what is wrong exactly. I also want to implement same scenario .
