Clearing business trip commitments

Greetings experts,

We have Funds Management active with AVC. When a business trip gets created, a commitment in FM is created corresponding with the trip amount, which is fine.

Then, the business trip expenses is paid to the employee through Payroll. Payroll will post into Finance. That posting will create a commitment in FM by debiting the same GL account/commitment item that the business trip debited without clearing the business trip commitment.

That leaves me with two commitments for the business trip. Once when the trip was created, and the other when it was paid through Payroll run.

I would expect the business trip commitment will be cleared out and replace with the Finance commitment, just like (PR->PO->GR->IR). Unfortunately, this is not happening.

There might be missing configuration from HR side perhaps? I'm not expert in HR module so I would appreciate any input on this matter.

In principle, the trip commitment reduction should be done when converted into Actuals.

If commitment reduction is not happening, this may be due to different account assignment during the posting run. You could check FMDERIVE during Trip creation and also during posting, to ensure that the same account assignment is determined in all stages.

Normally, the system looks for an exact correspondence between the new posting and the predecessor document, so if any changes occur in the meantime, the link gets lost and commitment is not reduced.

Check note [666322|https://service.sap.com/sap/support/notes/666322], it will help you turning the trace on. Then, run the trip settlement and check the FM account assignment.

There is a correction tool, program RPR_CORRECT_COMMITMENT with can also help you identifying whether or not a trip commitment reduction is expected.
