Deleting a budgeted commitment item

Hi All,

We are in the process of implementing Funds Management at our organisation, and we are facing a few concerns with the commitment items.

We had budgeted a commitment item by mistake, and thus removed the budgetory allocation (posting a return transaction).

When we wanted to delete the commitment item completely, the system shows an error

"Commitment item COMM1 in FM area 5000 andd fiscal year was already posted." (F6204)

Is it not possible to delete a commitment item at all if it has been budgeted ?

This unwanted commitment item shows up unnecessarily in the budget documents as a zero-budget item creating confusion, and thus need to delete the same immediately. Can someone kindly inform me as to what needs to be done for deleting a budgeted commitment item, once the budget allocation is removed ?

Hi,

FM object (commitmet item, fund centre, etc.) with a transaction on it could not be deleted without physical deletion of the transaction data. For the reporting issues, you can select an option where lines with zero values do not appear in the output.

Hi Eli,

Can you kindly elaborate on the transaction data deletions ?

Will a deletion of all the budget data in the particular commitment item running RFFMBUD2, before I delete the commitment item, work in the case ? (Just want to confirm with an expert before I proceed further)

And is there an alternate way of deleting the data, say by closing the year and deleting the commitment item ?

Hi,

RFFMBUD2 could be used only for 'planning' versions of the budget. For actual budget data (version 0) this program does not work. Normally, there is no standard procedure to delete transaction/budgetary data in Production system and I won't recommend it without thorough knowledge of FM tables.

Hi Eli,

Thanks a lot for the quick clarification.

We are actually working on the development system and there is a need to remove the unwanted (but previously budgeted) commitment items that we had created, before a complete testing of the processes, as they happen in the production, can be performed. Tried exploring the FMBL table, but could not get any cues from that.
