Legacy Asset Migration

Dear Friends,

Can anyone help me to share the documentaion or manual for legacy asset transfer in SAP?

Actually we are rolling out sap to one of our company and we have assets those are capitalized in current fiscal year and capitalized on last fiscal year.

I wanted to konw what is the approach to migrate those asset to SAP from legacy system.

I am looking forward your help to get to know about the complete process.

If anyone can help me by sharing the documentaion or procedure in reply, that will be greatful.

Hi Perumal,

Asset Migration should be handled carefully, as real time integration does not exist with FI module. Generally, assets are classified into 2 -

Assets acquired/capitalized in the previous year

Assets acquired/capitalized in the current year

The latter is generally uploaded at item / transaction level, while the former at balance level.

AUC / CIP should be uploaded at transaction level. Else, settlement will not be possible

Pre-requisites:

Asset master data configurations should have been completed like asset classes, depreciation area, depreciation key etc

Take over date (Transfer date) should be configured.

The date is of importance from depreciation perspective.

It is NOT the actual data entry date. It represents the value date.

There are 2 types of take over date - End of last closed FY or during FY (Mid year take over)

Implementation:

Asset migration t-codes like AS91/92/93/94 and AS81/82/83/84 will be used extensively

There are two programs that can be utilized to automatically process legacy assets. They are RAALTD01 and RAALTD11.

RAALTD01: Uses dialog programming and hence will be slow, but predictable

RAALTD11: Users direct input and hence will be faster. Most of the implementation uses this option

BDC recording of AS91 t-code: This is done for current year acquisition and AuC Assets. The transaction level data are entered by clicking the 'Transactions' button in the application tool bar

Mandatory Fields:

All mandatory fields as defined in the screen layout rule - Asset class, cost center, description, Plant, quantity, depreciation key, useful life etc

Acquisition amount, Accumulated depreciation value till PY, Accumulated depreciation value in the CY till take over date for all depreciation areas.

From FI View

The migration programs will create Asset data only and no FI documents are generated.

FI postings are to be manually created using t-code OASV or ABF1

Former will be used normally, while latter will be used for uploading asset values in multiple currencies

The asset GL account properties should be changed to 'Non-reconciliation' account ('Set/Reset reconciliation account' option in IMG screen). The same should be changed after migration

GL accounts for Acquisition Production Cost( APC), accumulated depreciation GL accounts will be posted manually. The difference (Net Book Value) gets posted to the conversion account created for assets. This is later reverse posted during TB upload

After migration, asset values at Current book value should match with the FI values

Dear Sreenivas,

Thanks a lot for the details explanation.

Actually my go-live date will be on 01.10.2011 and i have two set of assets to be migrated to SAP from non-sap system.

I have the following queries , can you kindly help me explain the below?

1) I have set the take-over date as 30.09.2011.

2) Period in which the depreciation was posted Year 2011 and Period 6

3) My asset capitalized on 01.04.2011 and Asset Original Cost : 1000 with life 3 year and the Accumulated Depreciation is 166.6666667 for 6 period from april to Septemper

If i give the Ord.dep.posted as 166.6666667 and the asset explorer does not show any APC value

If i give the transactions asset value date as 01.04.2011 and book depreication value 1,000 then i am able to see the APC value in the explorer

is the above approach is correct?

4) As you mentioned , what is the differnec of using OASV and ABF1 to post the takeove posting?

5) can i check with you whether the below is correct for takeover posting?

Dr Asset 1000

Cr Acc.Dep 166.69

Cr Asset Opening Balace GL 833.3333333

6) If i post like this when will be the opening balance GL will be cleared and how to clear this?

5) But in the asset explorer the planned depreciation is showing as 167, is it correct if i run the depreciation for period 7 then again posting will be as below right?

Dr Depreciation a/c 166.69

Cr Acc.Dep a/c 166.69

Is this approach correct?

6) what is the approach in AS91 for last year capitalized asset ? because the acquistion value is open for only for last capitalized asset not for current year capitalized asset

7) can you please share if you have any document for this kind of scenario?
