Maintain the Infotype 0906 where you can give the details of the authorised signatory and so on for the letter and when u\you run the action you configured it generates a letter according to the Infotype details.

Hi,

You can use Infotype 0906 and use this in Infogroup so when you will run that particulat action that infotype will trigger and you will generate the HR letters.
