Change Absence Quota Number!

Dear expert!

I have a weird case: how can I change the value of Absence Quota Number in IT2006. This kind of subtype is generated automatically because it's configured as increase, so this field is just to display & we can not modify directly.

But in unlucky day, user I dont know why they can change this value into 0. I used check log infotype report to find it. Thus I guess that SAP provide another way to modify this field. Could you please give me some advices for this case.

    As far as I understand. You want

    person 1234 NOT be booking absence against the Quota 99.

    if 01.06.2011 is the date from which you want to stop this quota for that employee,

    Answer = Delimit the Infotype 2006 for pernr 1234 Quota 99 End date = 31.05.2011

    Quota generation program = RPTQTA00

    Check if there's a quota adjustment record created for the ee in IT2013.

      Thanks for your feedback. But in this case, we don't configure rule to generate Absence Quota, so we can not use this program to generate Absence Quota. This absence quota is configured by using 1 Time Type. So just only 1 way to generate it by running PT60.

      I also check 2013 and there is Nothing changed. And after user changed this field, PT60 run background job and recreate absence quota NUMBER ( not absence quota deduction again) correctly. So logically it cannot change by running PT60. Please let me tell steps below:

      Before user changes somethings:

      The value of Absence Quota Number in IT2006 is 50.

      And then User run some programs or do sthing ( they don't remember what did they do): this value is changed into 0 on 9AM.

      And the middle of night of same day 9PM, PT60 run as background job & reupdate the value as 50 (50 is correct).

      Hope you clear my problem and please give me some advices!

      The point I want to know is HOW did user do to change Absence Quota NUMBER? and which programs / or anything else we can use to modify this value, because we cannot go to PA30 and change this filed directly ( this field is only DISPLAY).

    Below: Ted is correct providing you with information based on IT2013. IT2013 is used to adjust IT2006 by subtracting or adding an amount to a quota or by repleacing it with and completely new value.

    Also just use TCODE PA20 for any pernr with Quotas and go to IT2013 and enter HELP there it will explain how the standard system should react. I always double check that first especailly between major releases like 4.7 verses 6.0 etc....How ever it hasn't changed much since 4.6 to my knowledge.

    Prerequisites

    You can use the Quota Overview to correct an employeeu2019s absence entitlements. There are two different procedures, depending on how the absence entitlements originated:

    • If they were entered manually, you branch to the Absence Quotas infotype (2006), where you make the corrections manually.*

    • If they were generated in time evaluation, you enter a correction to the quota (in infotype 2013) that is made the next time that time evaluation is run*

    Note

    In the Absence Quotas tab page, the Det. ent. field (indicator for determining quota entitlement) shows whether the entitlement was entered manually or automatically.

    Certain quotas do not permit manual corrections. For these quotas, you can only transfer the entitlement generated by time evaluation directly to the Absence Quotas infotype (2006).

    Correcting absence entitlements entered manually:

    1. Choose Human Resources

    2. ® Time Management ® Administration ® Time Data ® Quota Overview. Enter the relevant personnel number.

    3. Choose the required selection intervals.

    4. Choose Absence quotas.

    5. Choose Expand.

    You obtain an individual overview of all the employeeu2019s existing absence quotas.

    6. Select the absence quota you want to correct.

    7. Choose Change Entitlement.

    The Absence Quotas infotype (2006) appears, where you can make the required changes.

    8. Choose Back.

    Correcting absence quotas generated in time evaluation

    Note

    You are advised to read up first on the various options available in quota corrections. For more information, see Quota Corrections Infotype (2013).

    1. Choose Human Resources

    2. ® Time Management ® Administration ® Time Data ® Quota Overview. Enter the relevant personnel number.

    3. Choose the required selection intervals.

    4. Choose Accrual information.

    5. Choose the accrual entitlement you want to correct.

    There are three ways of doing this:

    1. Changing the employeeu2019s entitlement

    You can use this function to change the employeeu2019s entitlement that is stored in the Absence Quotas infotype (2006) or to make the accrual entitlement available for deduction directly in the infotype. This is necessary when an employee leaves, for example.

    If you choose this option, you can only enter the correction entitlement and data on the system activities. You can recognize corrections that have already been made by the fact that the arrows are highlighted in color.

    Go to the line for the relevant accrual entitlement and choose Correction.

    2. Creating a correction using a default value

    You can use this function to create a correction for an employeeu2019s absence quota. SAP R/3 displays the data of the selected quota as a default value. You can change all values except the generated quota entitlement.

    Select the required quota and choose the Create Correction pushbutton in the lower screen border.

    6. Enter the correction entitlement.

    7. Specify how you want the correction entitlement to be processed in time evaluation. These fields are available only if the accrual entitlement increases the existing entitlement when it is transferred to the infotype.

    8. If required, specify that you want the new entitlement to be transferred straight to the Absence Quotas infotype (2006) after the next run of time evaluation.

    You may want to do this if an employee is leaving the company, for example.

    9. Choose Continue.

    10. If necessary, run time evaluation again so that you have access to the most recent results.

    To do this, choose Edit ® Time evaluation.

    Result

    You have corrected an absence quota.
