we are receiving lockbox file n BAI2 format.
In the record 4 fields, between the Invoice amount field and the deduction amount field, which one is the correct one for negative amounts like credit memo, chargebacks etc .
Thanks

Hi Pramitha
I have seen this thread and as suggested in the thread our lockbox file is also populating credit memos in the Payment amount instead of Deduction amount field of record 4 (SAP structure FLB24). Everything looks good if all the documents have been found by the lockbox program, but if a credit memo document is not found, system calculates the credit memo amount in the payment advice as positive. On the other hand if we use deduction amount field for credit memo then system consider these credit memos as negative amount in payment advice even if the the document is not found. Let me expalin by example, through an output log of transaction FLB2
Situation 1: Credit memo in Payment amount field of record 4
$100 (invocie amount) Document found
$20 (Credit memo) Document not found
Payment Advice total: $ 120 (this is not correct calculation)
Check total: $80
Situation 2: Credit memo in Deduction amount field of record 4
$100 (invocie amount) Document found
$20 (Credit memo) Document not found
Payment Advice total: $ 80 (this is correct calculation)
Check total: $80
So it seems like using credit memo amount in the deduction amount field is giving the desired result. But I am apprehensive to use this setting, since like the thread you have given indicates to use credit memo in the payment amount field. To my undertanding deduction amount field must be used only if there is a true deduction against a specific invoice and not for credit memo/chargebacks/returns etc.
Hence, with BAI2 format what is the best practice- Credit amount in Deduction amount field or Payment amount field for credits which are not discounts/true deductions??
Thanks
Ron
