Testing sending Workflow Work Items via Extended Notification

Dear Guru's

I've just configured SAP extended notification to send emails to users( Microsoft exchange server users) whenever there is a new work item in their SAP inbox

As a test I've manually executed a variant of program SWN_SELEN and when I run transaction SOST I see very many transaction requests waiting to be sent. This is also confirmed in transactin SCOT (8555 emails in status waiting). I'm hesistant to start the send process because I don't want my users to be swamped by a lot of emails

Is there another way of testing or sending the emails to a select number of users ?

Hi Andale,

yes, there's a verification report available, but it doesn't check your current settings, but creates an interims configuration. When I remember correctly, the name was SWN_VERI0xxx.

However, the very first initial run of the notification will exactly have the result that you can see on your system. All the available work items will be treated as "new" ones, as there weren't any old ones before.

I'm not aware of any circumstances (beside, modifying the time-stamp settings in the internal tables) to avoid that. I usually supervise the first run manually in the system, after I have switched off the job that works on the SCOT-queue (report RSCONN01). Delete all the pending eMails from the extended notifications.

From then on, only the new ones shall be picked up by the extended notifications.

Thanks for your response

Kindly advice on the steps to delete pending the emails from the extended Notification . Does a program for such deletions exist ? I have over 1000 pending requests in Extended Notification hence deleting manually may not be practical

Also advice on how to switch off the job that works on the SCOT-queue ie RSCONN01

I've manage to delete all the pending emails by selecting the select all button -> then delete

What I can't figure out is how to disable the program RSCONN01

Hello !

You can delete the transmission requests from SOST transaction by selecting the requests that are not required and click on delete button.

To de-schedule the RSCONN01, go to SM37.Type job name as RSCONN01.Choose your job which is "scheduled" status and choose Job->Delete from the menu.

I deleted all pending email requests in transaction SOST until there was none left, but in transaction SCOT I can still see 7500 emails in status waiting . These emails accumulated in the users SAP inbox before we thought of configuring Extended Notifications in workflow.

When I executed RSCONN01 users were swamped by many emails, hence I had to stop the program. When I checked again in transaction SCOT the number of pending emails has reduced to 6269 meaning approximately 1300 emails were sent to users before I intervened.

The issue is how to delete the emails with status pending (transaction SCOT) so that I can conduct my tests without disturbing the users with unesssesary emails

Generally, in Test systems the automatic sending of emails is turned off and you can just release a few selected emails manually from SOST.

If you are talking about a Production machine then you shouldn't be doing testing there.

Maybe the BASIS forum can provide you with more information about deleting emails in SCOT.
