where is the e-mail text genereated from FITV_POWL_APPROVER

Dear experts,

We are using the FITV_POWL_APPROVER for the manager to approve travel requests, it is working ok, but.....

on approval or rejection an e-mail is beeing sent to the employee.

-We don't like the text that is automatically generated, where does this text come from I can not find it anywhere in the SPRO, how can we change this text?

-Is it possible to disable the e-mail feature al together from the POWL?

Hi,

The mail content will be from the workflow side and not from SPRO. Please ask your workflow consultant to look into it and inform to change the content.

Looking at the information you have been giving me, I cannot see the situations what happening in our case.

The text that is send is very different from what I can see from the workflow.

I have asked my colleague to look into it and with some debugging he found a badi where we can control the text layout. He told me he had seen some hard coded text.

Another interesting thing is that I noticed that emails are sent straight away. And I thought with workflow you had a program scheduled

I believe "rsconn01" which is scheduled every 5 minutes to deal with e-mail.

Is there a connection with workflow and layout badi's? Or might there be a switch somewhere where you can control what you use workflow or badi's?

HI,

There is no program to schedule the work flow mails to trigger. Work flow will trigger mail to an employee only when the event is created or so. And there is no link between work flow and Badi's.

For E.g: When an employee submits a leave request, the work flow will pick the line manager and triggers the work item and whatever the mail text content which you have given in the task will trigger to the manager to his outlook inbox.

Just ask your work flow consultant to look into this.

Hi Albert,

the fact that you said The Mail-Texts differ between Workflow task description and Actual Mail content made me curious. I was searching for the said "hard coded" content and found out / did the following (you might want to try the same):

1. I went to TA "SO10" where Standard Texts are maintained and tried to look for texte with the Text-ID "FITV". I didn't find any. I then matched with Client 000 via Utilities --> Compare Clients and found the following three entries in CLient 000:

FITV_POWL_APPROVE_TEMPLATE

FITV_POWL_MAIL_TEMPLATE

FITV_POWL_REJECT_TEMPLATE

I copied those into our client. Then, when I compared the actual content of text FITV_POWL_APPROVE_TEMPLATE with the content of the actual mails in TA SOST, I noticed they are the same ( ! )

The strange occurence nevertheless was, I didn't have these Texts in my client before, so where did they come from?

2. I looked for an enhancementspot in SE18 and found PTRM_POWL_MAIL, using BADI_PTRM_POWL_MAIL. Its example-class CL_FITV_POWL_COMPOSE_MAIL implements IF_FITV_POWL_GET_MAIL_CONTENT~GET_MAIL_CONTENT. If you take a look at that one, you'll find that it's trying to access the texts from SO10 with a Function Module FITV_POWL_GET_MAIL_CONTENT. In case it fails on the current client, the Function Module directly accesses the data from CLient 000 (!!!!!!). So that's where they come from. If you include an implicit enhancement at the end of the method, altering exporting-parameter E_CONTENT, you'll be able to alter the mail content!

I hope this will solve your issue now. Sorry I provided wrong information beforehand. I was convinced the text would come from the Workflow Task! 😮

It's an old message, but was very helpful.  Thanks for the detail information.  I would have thought the same as you did initially that text is coming from the workflow task.

Hi,

S.Skrikanth is right. Check TA SWDD, Workflow WS20000050. Task should be no. TS20000095 Step Send mail: Request approved. The Text generated is in the task properties.

That's interesting,

Cause we are using the powl, because we didn't feel like using workflow.

But then it still uses part of the workflow?

Hi,

That is just to trigger the work item and reaches managers UWL for approval. The mail content comes from the Task which has been assigned.
