Notifications/Correspondence in eRec Ehp4

Hello All,

Currently when a any activity is create or even when external candidate is registered in the erec system there is default an attachments being attached and sent to the candidates or any recipients. This one i am seeing it from SOST.

My requirement is such that based on the activity which is assigned to the form needs to be triggered for the respective activity when created. But currently when ever i create any activity for the candidate by default an attachments "letter to candidate" in PDF is getting trigged

I think you are getting this PDF because there is no smartform assigned to the activity in the process template. This is a default PDF inserted by the system.

Please run the standard webdynpro application ERC_A_PROC_TEMPL_MAINTAIN to maintain your process templates and assign a smartform to the activity.

Thanks a lot for your reply

As said i attached a template to the requisition.

Now am getting the following error when recruiter does the activities for the candidates

When i select an activity and click on Send Email button i am getting error "1 documents could not be created or processed"

Also when i see the SLG1 Log this is what i found.

Pls suggest me with your valuable inputs

Interface of Smart Form HRRCF_CS_IT_APPLICANT is not permitted

The error occurred in program CL_HRRCF_T77RCF_DOC_CAT=======CM003 line 47

Hi Vijay,

HRRCF_CS_IT_APPLICANT is just a template that you need to copy to create your own custom smartform which then you need to assign to your activity.

Please follow the steps in the following SAP documentation link:

I am badly in confused state.

Currently i'll give what i have done can you plsss explain me what should be done for the notification config

Example

IN Table "t77rcf_doc_cat"

1 Documents for Candidates (HTML Editor) HRRCF_CS_APPLICANT CL_HRRCF_CS_DOC_CAT_APPL

2 Documents for Invitations (HTML Editor) HRRCF_CS_APPL_INVITATION CL_HRRCF_CS_DOC_CAT_INVITATION

Now these document class is assigned to the activity categorie

Then I asign the form to the activity

2020 Job Interview Internal or External Candidate 000 HRRCF_CS_EXA_INVITATION

Here my question is that when i do the activity 2020 then the form HRRCF_CS_EXA_INVITATION should be triggered right?

But currenctly when i exceute this activity is trigreeing the form HRRCF_CS_IT_APPLICANT which is of document class 4 assigned to the category 2.

What should i do in the cofig if it should send the form "HRRCF_CS_EXA_INVITATION"

Hi,

a common reason for the described system behavouir is a fallback which is implemented in the correspondence processing.

If you assign a smartform to a correspondence / invitation activity which has not exactly the required smartform interface e-rec is not showing any error. Instead it is simply printing / processing the described fallback smartform. To make things a bit more complicated there are two different sets for these smartforms interface. SAP replaced the original one by one only differing in a single parameter when they introduced the changeble letter section. As you are on EhP4 you no longer have a choice between the two options because sap only supports the changebale letter section today while the old example smartforms are still part of the delivery. HRRCF_CS_EXA_INVITATION has the old interface there should be a HRRCF_CS_IT_EXA_INVITATION or HRRCF_CS_EXA_IT_INVITATION which has the correct interface (you can identify these "new" examples by the included IT for include text).

Please change the smartform assignment to your activity and try again.

In addition you might need to check that in T77S0 the changable letter section is activated. Furthermore that document categories for simple correspondence is set to 4 and for invitation is set to 5 in the correspondence settings. If you plan to send an invitation you activity type 2020 should be of activity category invitation of course as the smartform interface for simple correspondence and invitation are also different so mixing this also leads to the fallback..

Hello,

With EhP4 you have to use/or copy smartforms which have CSIT_EXA_ and configure them V77RCF_ACT2FORM, especially also that you have configured category 4 for changeable letters. The smartforms need the interface of reference smartform HRRCF_CS_IT_APPLICANT for simple correspondence and hence checks the interfaces' similarity. If interface is different then you will get the above interface error - and it then displays the standard reference form which is why it is displaying HRRCF_CS_IT_APPLICANT. So just configure the correct form and it will be fine - put maybe HRRCF_CS_IT_EXA_INVITATION instead of HRRCF_CS_EXA_INVITATION and check.

Firstly I really thanks whole heartedly for you reply.

I am still need some doubts to be clarified from you experts...

1)Should i now create a copy of existing document class

2)If i create a new document class, then there is already document class which is attached to categories, so should i assign the new created document class

eg: for simple correspondence categorie 4 is the document class, So should i now assign the new document class to the same

3)Should i create different categories and assigin the different document class and then assign the forms to the activitives.

I am really still confused - how should i approach for the notification to be triggered

eg: if do the activity request for more information the respective form should be triggered or if select the activity like face to face interview the respective smart form should be triggered.

Pls tell me in details steps of config where and how to do this.

4)Currently i have maintained the switch in t77so

RECFA INDCO X Individual Correspondence with/without Web Editor

Is this correct or not

Plsss help me as i really need your expert inputs in this area

Hello,

There is no need to copy the existing document class or change the configuration for this unless the requirement arises. In your case the standard should be able work.

Firstly like what Roman has said above, check in V77RCF_ACT_TYPE if you activity 2020 is assigned to category 04 if you want to use it as invitation. In T77RCF_ACT_CAT_T, the simple correspondence must be assigned to doc category 5. You must then assign the correct form V77RCF_ACT2FORM which has CS_IT_EXA. When yu try to create the activity after this error "Interface of Smart Form HRRCF_CS_IT_APPLICANT is not permitted" should not come and you should be able to send the notification. RECFA INDCO must be activated yes.

Firstly I whole heartedly thanks each and every one for your really patience reply and valuable inputs given to me.

Now after all these discussion i could send the notifications as per the activities. Now again one small problem is that when recruiter enters the Note field and clicks on the send email button, here an notification is getting triggered but the notes which he has written is not getting visible anywhere. can anyone suggest what might be the issue.

currently there is no mail setup in my erec server and i am seeing all the notification via tocade SOST where i see the notification test and attached notification with respect to the activity performed by the recruiter

Hello Vijay,

the note in any activity is not processed any further. It is just stored there.

In correspondence / invitation activities there is an extra field for the changable letter section which is not the note field. In standard of EhP4 there should be a little button / link to make it appear. To use this a changeble letter section (text module) has to be assigned to the correspondence smartform and the smartform has to be implemented in a way that it processes the changable letter section of course. How this is done can be seen in the example smartforms of sap.

Dear Nicole,

I am on EHP6

I have a Scenario that I need to send Notification/ Correspondence to IT Manager/ PR Department/ Administrator Department. Once The Candidate is in Offer Phase: The letter is predefined Letter to all the departments specified.

How to configure in the EREC under Activity Type. I have created different Activity Type as IT Manager, PR Depart. Admin Depart. and assign to NG support group. But system is not allowing.

Could you let me know how to handle this Scenario. Hope to receive the solution.

Hi,

I am a technical person. We re asked to copy the standard form HRRCF_CS_IT_APPL_INVITATION and we provided the z form with a text module name created in that z form to the erec team.

Now, they are saying that, they are gettting only blank screen.

Even, i checked the config details as mentioned above, everything is fine.

Is it related to technical issue?

Hello Prabu,

when the smartform display results in a blank screen this is usually caused by a rendering issue in the smartform. As a first step check the application log (Transaction SLG1). The system usually catches the rendering error and writes an entry to the log.

Most common error are caused by:

  • runtime error in the smartform processing (coding bug )
  • output of an image which is not existing in the system
  • output of a text module which is not existing

Thank for your reply.

When i checked in SLG1, i don't find any application log.

Then coding error means what kind of error. Because, i have just copied the standard and created one Text module and our functional team configured my z form and text module.

Can you let me know how to cross check whether any of the mistake we have done in smartform (rendring issue) or anything else.
