Hi gurus,

I have created two versions 00 and 01 for the document type, is it possible to do a change of version 00 if the user has the authority. Both the versions are in the same status as in work (is it possible)

when will we create a version for a document ( if there is any change in the document or when u upload a new document)

kindly explain me clearly gurus.

Hi Kanna,

Vesion are of automatic control.when you change version of document means your document number, document type, document part will be same because with this data only system will ask to copy the old version as it is.

Now in new version you can modify any data or replace the original file also. based on the reason for changing the version.

we can't make chnages in 00 in your case because versions are getting changed whenever you makes any change. in your case 00,01 is existing version and when you will change anything in these version next version 02 will get created.

I hope you understood , you can't change any version because it creates new version when you change it.

also when you change a version system is copying all data of previous version and previous version remains unchanged.

Hope this will resolve the query.

Regards,

Ravindra

Yes

when will we create a version for a document

Its pretty subjective. Assume for an automobile firm, during the design phase, there are 3 versions of DIR's for the final set of drawings related to the dashboard. Version 00 is for the base model,01 is for the top end and 03 is for the special anniversary model. These DIR's versions are then used based on the production requirements. Similarly, versions can also be created when some changes are incorporated in an DIR.

1. It would be possible to change an old version without creating a new version. This is set in the config and you don't need to create a new version with every change. (would not recommend it though).

2. I don't agree with Mr Pradeepkumar about using different versions for different parts of a dashboard. In this case it should be different documents and maybe a document structure of these documents would make up the dashboard. Another solution would be to use the part number to have the same document with different components of the dashboard.

The version should only be used for distinguish changes in a document. I don't think it makes any sense to do changes in an old version if you have created a new one. You could still use the old version in production for example if that one i released and the new version is "in work" status but not in any other case.

I hope this helped to clarify your question.
