Provide Excel document in a shared drive to users

Hi all,

I have a requirement wherein i have to link an excel sheet which is in present in a Windows 2000 server to a NW Portal.

I have to make the document available to all the users so that they can edit the document online.

I have followed the below links for doing this.

I have created a repository by going into

Content Management/Repository Managers/File System Repository

I gave the Root Directory

name/prefix/lookupmode/security manager

The repository is created.

When i went into Content Admin to give the permissions iam not able to see the Repository over there.

I tried enabling security manager and disabling it.but it didnt worked out.

The userid which iam giving in SAP Portal has access to the shared drive.

It has the permissions on the document( read, write, or delete permissions).

Did User Mapping . Created System Alias.Have checked the network paths.

1.Can you tell me what configuration iam missing to view the repsoitory in

Cont admin / KM / Permissions.

2..The id has access to the document to edit but is it the id to use.

3. Is it possible to open a excel document in a shared drive directly and edit the document in shared drive and save there itself.If so what is the procedure.I dont want to open a folder when i click a iview.I want the excel sheet to be opened directly without asking whether to SAVE or OPEN.

Anil,

have you checked the log of the portal to see if some error message was thrown, like: not able to connect, because xyz.

Have you tried to connect to the CIFS share with the user/password you are using in the portal? Did this work?

Many thanks for the response.I will confirm the same with my Network guys.

Meanwhile can you tell me whether is it possible to link the excel document stored on a Win server to a Repository.

My req is to provide the users to edit an excel sheet online and save it in the same location

so that all the users can update the same depending upon the updates.

If i open a iview it must directly open an excel sheet without asking to save but must contain an option to save the changes after editing.If one user is editing the document the other wont be able to edit the same document once the first user finishes it.

Please let me know the procedure

Hi,

This is not possible. YOu will have to download the file to your system, edit it and upload to the KM repository manually. You wont be able to edit the doc online and save it directly to the repository unless it is an html or text file.

Thanks Shyam.Its a big limitation to KM for this requirement.But how are the clients going ahead with these kinds of requirements.

What should i provide my client to edit a document online.

Could i know the procedure to make a text file or an HTML file available for the users to edit and save online from a shared directory.

Anil,

what you can try is to provide the link to the document as a WebDAV link. Office understands WebDAV< so it should treat the location as an explorer folder. This should give you the option to edit the document without the need to download it (well, Office will still download it in the background, but this will be transparent for the user).

Hi Anil,

Goto System Administration -> System COnfiguration -> Knowledge Management -> Content Management, Select Component Monitor from the Related Links area in the detailed navigation. There, inside Repository Managers, see whether you can find your repository. If yes, let me know the result.

Note that Sometimes it needs a restart for the repository to appear.

Thanks for the quick response.I have checked the reposiitory managers in Component Monitor and all are green in colour except services gshowing warning.

i have followed these document for troubleshooting.

Hi Anil,

Sorry, your reply is not clear. Are you saying that you can see the newly created repository in green in the Component Monitor?

I can see the things in Component Monitor in greencolour except Services.the services are showing yellow colour i.e warning

Can you see your repository also in green among them?

Goto Content Adminstrator -> KM Content, Select the repository, right click, select permissions.

Check whether this works.

the problem is the repository is not coming up in permissions.

Are you saying that you cant see the repository under content admininstration -> KM Content????
