Mass Upload Fixed asset and sub asset

Dear all,

we need to create 1 Fixed asset and 99 subasset in the system.

To process this scenario manually will take so much time.

do we have any mass upload in the system ? so that fixed asset and subasset is created in 1 step.

Hello Harshal,

From your latest comments, from a AUC, this way of settlement rule does not work for you ?

the rule works. that's not the issue.

Issue was (If I remember correctly). when you create settlement rule, you need percentage to be 100%.

In your case, AUC is 80 from which you are trying to transfer the cost to three assets (94, 96 and 99). So basically all the cost that is recorded for the AUC 80 will be transferred to these three asset.

Where as What we were looking for is, only part of the cost on AUC 80 to be transferred to these three asset. Remaining value should still be with AUC 80.

For example : Cost recorded for AUC is 100 USD. (10 USD per Asset).

We only want to transfer 30 USD to three asset (10 USD per Asset), Remaining 70 USD still should be with AUC 80.

this was due to legal reasons. You need to transfer and start depreciation only when you put the asset in use and not from the acquisition.

So if I transfer all 100 USD to 10 different assets, system will start depreciating them. Hence either we will have to change the depreciation method for 7 asset to no automatic depreciation and then change again when asset is put in use (We had 3 Books and total of 7 or 9 valuation view) So each time keep changing the depreciation method and start date for depreciation was not an good option).

Another solution to this problem would be to post acquisition only when asset is put to use. But in that case, settlement rule does not work (as percentage total should be 100% which means 100 USD will be transfered to 3 assets as 33.33 USD each which is again not what is needed).

Any updates on this request? I have a client with MAJOR fixed assets and LOTS of AUC assets. And will need to create hundreds of fixed assets for the AUC. A mass upload would be SO much easier than creating them one by one. Then we could use the settlement rule to transfer the costs.

Did you find a way to import those assets? We are facing the same issue and are looking for a way to import assets after the migration of accounting transaction data.

Hi Rakesh,

You can change the "Migration Posting Date" under the "Companies" view of the "General Ledger Work centre" to the date on which you want to post the acquisition for the 100 fixed assets and then fill the migration excel for fixed assets and migrate them from the business configuration activity "Migration of Accounting Transaction Data".

Hi Ananth,

As rakesh mentioned system is live and we have already migrated the data in the system.

Bit of background for the question Rakesh asked.

- We are using the Asset under construction process. meaning we are creating a project, recording Shopping cart, Purchase request, PO, GR and Invoice.

- This Project is linked to the Asset under construction Asset in the system.

Problem is when we want to Acquire the original asset, we have to first create the Asset in the system and then Perform settlement postings from AuC to Fxa.

So this creation of asset process is manual. meaning we create one project to acquire 100 Laptops, Order and costs are booked on the Project. for these 100 Laptops, there could be multiple delivery and we need to acquire them only when they are put to use.

This means, I have to manually transfer the cost from AuC to Fxa.

let's say only for 10 assets (for rest 90 laptops, cost would remain on AuC), we have to create 10 Assets manually and then create postings also manually (Settlement factor does not help as it would always have to be 100%, meaning all the cost on AuC would be transferred, this we don't need).

Apart from Migration, any other approach. Since you know, migration of asset is bit tricky and users may make mistakes. (3 books, 7 Valuation views 🙂 )

Hi Rakesh,

I'm not sure whether your system is already live or whether you are trying to migrate data anew. We do have a feature with migration of fixed assets to create sub assets along with the main asset.

Under the migration excel you could add the main asset entry first and the sub-asset entry later and then perform the migration.
