Deleting An Action - IT000 (Actions)

An employee’s contract ended on 31/01/2019 and was to leave the company. HR updated SAP with the ‘Leaver Separation’ Action in SAP. The employee then accepted a contract renewal, to be renewed the day after the 1st contract expired. Our HR department then added a ‘Re-hire’ action.

I have advised HR to delete the action and instead use 'Contract Extension'.

The HR department will not delete the ‘Leaver Separation’ Action as according to their process they should not delete actions and will not delete the action.


This causes an issue in payroll as it indicates that the employee was unemployed for 1 day (01/02/2019).

The company I work for does not run payroll on SAP (it is only used as a database which is interfaced to our payroll providers WD system). As as they will not delete the action, I would like to ask for advise on how to explain this? Is there an online manual for basic data entry?

If the employee's contract ended on January 31st, then the Termination Action (Leaver Separation) would have been created on February 1st.

If the employee was then Rehired, it couldn't be done as of the 1st (in SAP, an employee can't become inactive and active on the same day) unless the employee would be Hired under a different PERNR. Note that HR could have a valid reason to use the Termination Action, even if only to signify the "Break" in employment continuity.

Through the interface file to your external Payroll Provider (WD system), perhaps you could advise them that the Rehire happened on Feb. 1st and not Feb. 2nd. Alternatively, create a "Special Payment" to adjust the employee's Gross Pay for the "Rehire" Payroll Period.
