Hi Everybody
When uploading roles from SAP back-end system there is a template which you must to download ( Configuration->Roles->Import Roles) if you want to import from a file.
Does anyone know how this spreadsheet looks like? I would like to see an example, please where can I find it?
In other hand, which is the best practise for importing roles in the case ERM will be set?:
Import roles from ERM
Import roles directly from back end system or
Import roles from the file I'm asking about
Many thanks in advance
Marga.
RoleApprover
User ID of the role’s approvers. Several role
approvers can be included, separated by
commas. Alternate approvers follow the
approver and are separated by a pipe
symbol (|). Lead Approver designation
follows the alternate approver separated by
a pipe symbol (|).
Format:
Roleappr|alternative|Y,roleapprover|alternate
Example:
WONG|BLAW|Y,CPERKINS MWONG is
the role approver, BLAW is MWONGs
alternate approver and MWONG is the
Lead Approver. CPERKINS is the second
role approver, no alternate and is not the
lead approver.

Thanks Nitin and Varun,
Then, if you choose importing roles by the spreadsheet you could not have the total of roles within the system, so you will limit the number and which roles you are importing, rigth?
what happen if you need one role that it is not imported yet? do you re-load the new spreadsheet and overwritre the data were in CUP from before?
Ok, I'm just thinking about how to do it and which is the best way. Any suggestion?
Thanks so much!
Best regards
Margarita

Hello Varun,
Yes, sorry I meant into CUP.
I guess if you import roles from ERM to CUP, does the system fetch all the atributtes that were set at ERM?
Is it possible that through the shynchrozation with ERM all imported roles get assigned the rigth attributes?
I mean, If you import roles from ERM to CUP, you only need to shynchronize to get update all these attributes.
Where can I see a full-filled example of the spreadsheet?
Thanks so much!
Marga.

Hello Marga,
I dont think CUP imports the attributes as well along with the Role from ERM (although i did not test it and can be wrong). Even though if it does fetch the attributes as well, then also you would have to do the excercise of maintaining attributes in ERM which will be difficult excercise on a role-by-role basis (or you can try doing that while maintaining the role information file).

Hello Margarita,
The roles in CUP can be imported from both ERM and also from a spreadsheet.
ERM upload- To import roles from ERM, the attribute will also be imported along with the roles, however in that case you have to maintain the attributes exactly same as you have done in ERM. Moreover there could be some roles in ERM which you would not like to provision to users and hence should not be available in CUP.
So it is advisable that you upload roles from the spreadsheet template.

Nitin
Hello, thanks for your response
I'm sorry, maybe I didn't express in the rigth way; I meant that from CUP ( as I understand) you can import roles since three different ways:
1. From ERM (and after all shynchronize)
2. From the Back-end system
3. From uploading my personal spreadsheet to CUP
My question is: which is the best way to import roles from CUP?
Thanks

Hello Marga,
I am sorry but i did not understand still. Do you mean that you wish to Import Roles INTO CUP or FROM CUP to any other application? I believe that you are talking about Importing INTO CUP.
To import Roles into CUP, the best way to do it to upload via File. This way can specify the Role Attributes such as Business Process, Sub-process, Application Area, Company etc in the file, + you can also specify the Owner/Approver for the roles as well in the file itself. If you do not do that, then you will have to specify these attributes for roles + their approvers for every role on One-by-One basis which is very difficult task.

Hello Marga,
You can get the template if you go inside CUP -> Roles -> Import Roles. On the right side pane you will see a button saying Download Template. This will give you an Excel file showing all the column names that you need to fill in.
Also, for ERM mostly the existing SAP roles are imported into ERM after downloading from SAP into a text file. You need to execute the Utility /VIRSA/RE_DNLDROLES and export your roles along with the role information file. You can then upload the roles into ERM using this file.
