Import of MSDS

Hi all,

One of our client is maintaining 85 chemicals. All the chemicals are internally prepared. (not vendor substances)

So I have created specifications using cg02. Now I need to import the MSDS and assign to the respective specifications and release.

Can anybody provide the solution?

I would like add some further comments (which are not technical but may be give you a different picture):

I assume that your MSDS which have been prepared by the customer are written / prepared in Microsoft Word or similar programs. Normally a manufacturer of chemicals must comply with legislation. In many countries therer is the obligation to provide the MSDS to the customer in the language of the customer. Now by only importing the documents as decribed you will not reach this goal.

Therefore you need may be to think about MSDS distribution using SAP EH&S. If this topic is of interest to you please make sure that you have done a suitable set up of the SAP EH&S system to perform this task. Therefore in this context the generation variant and language used for the upload afre critical.

It is clear that having only < 100 chemicals it would not make sense to prepare the whole EH&S to generate the MSDS using EH&S functionality.

Keep in mind that due to recent changes in many regulations/legislations my assumption would be that the amont of MSDS you have (or your customer) is quite to low,

GHS is introduced now in many countries and will be introdcued more and more and you have th REACH topic in european area which you need to fulfill. Furthere one as explained above the topic of language is critical. Nearly any legislation is forcing you that (if you are delivering a hazardous/Dangerous product) you must prepare a MSDS whcih is readable by the customer. In European ares something like more than 15 languages must be supported not talking about Asia etc.

Hello Beno,

For importing the MSDS and assign to the respective specifications and release, you can use Tcode CG36VEN.

Please see SAP help topic : Vendor MSDS Import under Basic data and Tools > Tools > Import: process > Report import :Process.

Hi,

I think this requirement is not for vendor msds import. If you want to import MSDS provided by your vendor you can have this option of CG36VEN. As said by you that there are the substances internally prepared either you can generate the reports, provided you have all the neccesary config and data or you can use CG36: Report import to load the MSDS. For this you need to have Key file and Doc files ready.

After importing the intiall status will be the status what you set in Gen variant and from Rep management you can control the status.

thanks for solution..... would you please guide me to prepare key file and dat file... I have 80 odd MSDS on my desktop.

Hi Beno,

Use report import to import inbound documents (IBD) into the SAP system. The Inbound documents are generated in an external system (may also be an SAP system) and imported into SAP system. When importing a key file must exist for the report file. The key file defines the allocations to the substance report generation variant, the language and the substance.

Customisation of basic data & tools in user exists may be helpful to u to create additional interfaces by copying the Dok-X function module, which are editable to client requirements. All document formats can be imported, provided the format has been set up in Customization for Document Management (DMS).
