Change of System Data Retention Period in Fixed Asset Archiving

Hi All,

Has anyone done Fixed Asset Archiving before?

We have retired around 2000 fixed asset in 31.12.2009 and would like to archived these master data and their related transaction data as well.

We understood from the wiki documentation that there are system data retention period (by standard is 1 year after retirement date) and also customer data retention period, which gives customer flexibility to set how long the data should be retained in the system, in addition to period set by system data retention period.

My question is that, are we allowed to change the system data retention period to zero? What is the reason that SAP set system data retention period to 1 year? Is it related to audit trail that system must keep it for previous and current year? Most importantly, what is the impact if we change the system data retention period to 0 year anyway, such as impact to asset value in the reports or impact to fixed asset transactions?

If you have any experience or comments in this case, i really appreciate if you can share with me

Thanks,

CW

Hi,

I would not recommend to change this setting. One major problem you get will be that the archiving function will delete data from database (which has been transferred to the archive). So far so good, that´s one of the archiving features

But it sometimes happens that you have to open an already closed fiscal year again. And if you open this last closed fiscal year again, the realtime transactions could fail now if data (transactions, etc.) is missing which exists only in the archive at that point of time.

By the way, you can have a look at SAP note 389920, in there the archiving functionality is documented for FI-AA application.

Hi Markus,

Thanks a lot for your explanation. Really appreciate it.

I totally agree with you that we should not change the setting as SAP must have reasons to set 1 year as default.

Thanks again for your comments,
