How to archive data which is in sap content server

Hi Experts,

We are facing issue with data stored in content server. With the time the data which is in content server is increasing and reaching the size limitation of content server. We want to archive data which is already present in content server.

Is there any stategy for this and how we can archive the data which is already inside sap content server.

It really helps to ansewer some of my questions.

I would like to ask some more information for content server to you. As you said content server will allow to increase the database size upto 64TB and advise for the either of the 2 activiteis.

1. If I shift the data which is old to some other storage, should that storage device be connected to content server.

e.g If I have decided to store data on some file system I have to connect file system with the content server with the specific driver for file system.

2. Next you said to install new content server, but as I know content server provide us the facility to connect to various instances of database system if one of the instance reaches its limit of 64 TB, so would it be good to install some other instances of database or the new sap conent server.

3. Which storage media (File system and Instance of Database) is prefferable in terms of cost and security to enhance the scalability of content server.

The links provided by you gives an idea about archiving, but my concern is how to manage data which is already archived in sap content server, and further archive that data due to size limitation of sap content server.

Hello Richa,

SAP Content server will allow to increase storage database size upto 64TB. If you are exceeding this then you can carry out following activities:

Analyse which documents are very old and which is not required even for viewing by business or users then copy those doc Ids into different storage system and export it from current SAP content server.

Or

You can think of installing new SAP content server with new content repositories & assigning to all the business area. With this all new incoming images/documents will be stored in new SAP content server and old images or documents can still be displayed with any impact to the business.

I don't want to use external content server as it cost high compared to SAP Content server.

Yes you are right that we can resized the database for sap content server but there is also a limit for this as Mangesh said 64 TB. So can we further archive this data which is already in sap content server to some file storage or somewhere so that increase of data does not effect us.

What should be the strategy to archive such kind of data.

Hi Richa,

Yes, you can move the data to an external offline system bearing in mind the statutory data retention rules. You can also store the archived data on tapes or optical devices depending on the frequency of access.

Thanks Pradeep for your reply but my requirement is different. We use SAP content server to store archived data so the data which is archived lies with SAP Content Server now as we know SAP Content server have some size limitaion so is there any way so we can further archive data which is in sap content server.

Ok. Do you want to archive the data in content server onto an external storage?

On the other hand,as you are aware, content server database can always be enhanced/resized to handle data in terabytes.

Hi Richa,

The transaction used for archiving is 'SARA'.

However, one prerequisite for archiving is that you need to set deletion flag for document info records that you no longer require/need to archive.You can set the deletion indicator in transaction CV02N. In the header area, you will find the deletion indicator and by double clicking, you can set it and save the document.Another possibility would be to set the deletion indicator with the BAPI_DOCUMENT_DELETE.
