Open item - reverse clearing document

Hi guys,

I've learned from SAP Library that "When you reverse a clearing document, all items that were cleared by the clearing document become open items again".

However, I wonder from which moment the clearing document become open items again?

Below is a case at my company:

1. On 02 Feb 2018: document 1170127770 -> Advance to employees (in USD)

Dr Advance to employees 300 USD (equivalent to 6,811,500 VND)

Cr Cash 300 USD

2. On 21 Mar 2018: document 1290182455 -> recorded actual expense (in VND - the FSs' currency)

Dr Expense 11,681,427 VND

Cr Advance to employees 11,681,427 VND

3. On 21 Mar 2018: document 1041029682 -> clearing document (in VND)

Dr Advance to employees 6,482,573 VND

Cr Advance to employees 6,811,500 VND

Dr Advance to employees 11,681,427 VND

Cr Advance to employees 11,352,500 VND

-> On 30 Jun 2018, when I extracted "Advance to employees" account balance as at 30 Jun 2018 for Forex evaluation , document 1170127770 was not open item.

4. On 01 Sep 2019: document 1020000432 -> reverse clearing document 1041029682

-> On Nov 2018, I extracted "Advance to employees" account balance as at 30 Jun 2018 to re-check, document 1170127770 became open item and so, the account balances I extracted in Jun and Oct were different 300USD.

In my opinion, document 1170127770 would become open item from 01 Sep 2018 onward and as at 30 Jun 2018, this document was still not open item.

How could the reversal incurred on 01 Sep 2018 affect the balance of Jun 2018, which had been a closed period?

Pls help me with this case. It really made me confused.

When you reverse a clearing document using FBRA, you reset the items to uncleared. This goes back to their original status, and affects reports run in the past. The only way you can remove the item from uncleared items is to clear the item again.

Period control is an important tool to avoid GL accounts changing in the closed periods. However, with my company, I keep the cash accounts open when I have to make clearing adjustments because like you, I particularly would like to know if items were cleared as of a certain date. However, SAP clearing does not have to be a chronological process. We're mostly concerned with open items as of today or as of the current month end, not relitigating what happened six months ago, unless you're running an audit.
