Error occurs when executing an item in an inbox with more than 1000 entries

Hi Everyone,

One of our approvers in SRM experienced an error when his inbox contained more than 1000 entries . Further execution on any inbox item produces errors.

Would you know where to set the maximum allowable entries in a user's inbox? Can this be set thru SRM config or Basis functionality?

We also searched for existing SAP Notes but found nothing.

Your inputs and help are greatly appreciated.

Is the manager on gone vacation?

what was the error message he got while approving ?

plz give some more clues.

is is notification or workitems inbox?

are after approval , normally disappears ...workitem.

are u in UWL , check refresh button.

Hello,

The user has sent me the screen shot. But this has no error messages. The approval transaction shows an ITS screen/code with template 'bbpapproval/99/saplbw02_1200.html'

However, we have a user in Quality where the page displays with no problem and with 1675 Entries.

Do you think this is more of an ITS setting or any Template/JavaScript issues?

Regarding the not-so-good practice of approvers to have more than 1000 entries in their inbox, we are still in the process of planning on how to divide the task to different approvers since there is only one approver (Project Manager) for the related network.

how are you? hope you're doing fine. You can use the SUBSTITUTE option in SRM approver inbox so your approver can have substitutes to help him in the approval process, better yet create the program for offline notification,

Good to have you here!

Substitute option has already been practiced in the system. However, regarding this specific PM, substitution was not used for some security purposes.

Workarounds like forwarding of workitems has been also performed. The inbox items contain notifications like 'Delivery date expired' and workitems for PO approval.

This is more of a preventive activity so that this will not occur in the future. But this will be limited in N number of entries so that the approver will promptly check and decide on the workitems in his inbox.

Hi Reymar,

I think there's a danger in limiting workitems in the approver's inbox, that's why it's not part of the standard configuration to limit it, =). Your users may want to try out division of labor for a change =p, better yet setup an autoforward of workitems given authorization limits =D

You could maybe give executing the workitems as an administrator via an SAP GUI session a try:

Use transaction SWIA and SWI5 to execute the workitems as an administrator via GUI session.

More then 1000 workitems: lol?.. You/he has got some major cleaning up to do, gl.
