Substution using filters

Hello,

Our requirement is as follows - we have substitution active in SBWP for managers i.e. manager 2 is substitute of manager 1. Now, manager 2 is able to see and process all the work items of manager 1. We have an appraisal workflow which sends appraisee details to manager 1. We do not want that the manager 2 should see or process these appraisee details which belong to manager 1 but we want that the manager 2 can see and process other activites apart from these appraisal details. We tried making an implementation of the badi WF_SUBSTITUTE and seen that in debugging, the system deletes the profile entreis but it still shows in the inbox of the substitute manager. In other words, this badi is not working despite of being active. What could be wrong?

Another thing is that this badi is called in FM SAP_WAPI_SUBSTITUTE_PROF_GET. This FM, when we tried searching in where used list, displayed no search results.

Please suggest what other things we can do?

Ours is ECC latest system and all patches and notes are taken care of.

Hi,

Get yourself familiar with task classification. It is possible to create "substitution profiles". This means that when you assign the substitution, you can select a "profile" (for example Appraisals). Then the substitute with this profile, will only see the tasks that belong to this profile. (Of course first you need to define that which tasks will belong to this profile.)

In IMG; SAP NetWeaver -> Appserver -> Business management -> WF -> Basic settings -> Substitute profile

I appreciate your prompt reply and I clearly understand your point. I have a small query again. suppose manager 1 is having 5 types of substitute profiles s1 s2 s3 s4 and s5. Now if we dont want to show substitute 5 items in manager 2's inbox, we wont give substitution for that. BUT how will I assign r map this S5 substution profile to my appraisal workitem coiming from my workflow to manager 1 so it gets filtered in manager 2's ionbox?

Hi,

It is bit hard to follow this complex scenario. Just try to keep it simple. Try to have only few profiles. For example "General HR tasks" and "Appraisals" (if the appraisal is the one that need to be paid special attention). If you have many substitution profiles, it will be rather complex to maintain them for users.

If you have just few profiles, it will be easy to take care of the substitutions. Just give the general profile whenever needed, and just pay th eextra effort when deciding whether the substitute needs (or is authorised) the appraisal profile.
