What is Current Version?

Can someone clarify the exact RULES for how "Current version" in the Document list for a functional location/equipment is determined?

Background:

When listing documents for a functional location (IL03), it is not necessarily the CV version that appears when selecting "Current Version" radio button.

Tests (PRD/TSQ)

My findings:

A document must have a "Valid from " date in the past to become a "Current version (Tests 1 and 3).

If CV version does not exist, or it's "Valid from" date is in the future, another version (if such exists) will show as "Current Version", regardless of it's status (Maybe the most recent version?) (Test 1 and 3)

If multiple document versions, including a CV, have "Valid from" dates in the past, the CV becomes "Current Version" (Test 2)

Test details

Open Functional location BD/EKOK/60 03042 in IL03 and select "Documents" tab. Alter between "All versions" and "Current version"

Test 1

Documents BD/EKOK-FA-P-10260 - parts 001-004. .

PRD: Only CV version exist for these. None of these show as "Current Version". "Valid from" date from change number 500000004832 is 12/31/2009 (Future!)

TSQ: The parts are here in IC or AS status. No CV. Initially same future "Valid from" date as in PRD, but I created alternative date 01/01/2009 for Change number 500000004832, and linked parts 001 and 002 to this date. Then these two show as current version for FL BD/EKOK/60 03042, although they have IC and AS status! (Alternative date overrides default "valid from" date on change master).

Test 2:

Document BD/60S07474, part 003:

PRD: Version 01. Status CV, valid from 24.06.2003. Version 02. Status IC, valid from 31/12/2009 (Future!). CV version show as current version.

TSQ: Same as in PRD, except as I change "Valid from" date for version 02 to 01/01/2009 as in test 1. CV version still show as current version.

Test 3:

Document BD/EKOK-VA-P-00158, part 001

PRD: Version 01. STATUS VS, valid from 18.10.2001. Version 02. STATUS CV, valid from 31.12.2009 (Future). Version 01 (VS!) shows as "Current Version"

Hi Scott,

I hope the following link could be usefulf for you regarding the logic for current and all version behavior:

Thanks for your help. We also found this:

The "current version" option on the Functional Location / Equipment document list does not have the same meaning has the DMS "CV-Current Version" status code. It's just a method that tries to indicate which version of the DIR is most relevant. If a version has a CV or CO status code (a "released" status) then it will be the "current version" (unless ECM Vald-From date is in the future), but it doesn't have to have one of those status codes to be listed as a "current version".

If a version doesn't have the CV/CO status code, then the "current version" is the version with the most current ECM Valid-From dateu2026 However:

1) If there are multiple versions with the same ECM Valid-From date, then the most recently created version becomes the "current version" if none of the versions are in a released-type of status. For example, if a DIR has two versions and they both have the same ECM, then the version who was created most recently is the "current version".

2) Versions that have an ECM Valid-From date in the future will not be considered a "current version".

3) If a version has status code PV (or VS) and none of the other versions have a released-type status code (CV or CO), but the PV's ECM Valid-From date is greater than the newer version's ECM Valid-From date, then the PV will be listed as the "current version".

There might be other logic rules, but that's all I could figure out.

Again, many thanks...

Scott
