Changing cost element category

Hi Experts,

When I am changing cost element category u201811u2019 in place of u20181u2019. System not change that because some entries are posted in cost element A/c. Please suggest me how I change this cost element.

Hi,

that is standard system behaviour. When posting the first transaction data (plan or actual posting) in a fiscal year, a YEAR DEPENDENT ENTRY is created in a control table for the cost element (COKA). Therefore you only can change the cost element category until there is no entry in the table COKA for this cost element in the relevant fiscal year .

(The other option would be to reverse/delete all transaction data on this cost element in the relevant fiscal year.)

Hi Hemant ,

Cost Element is a time dependent Master data just like other Master data elements in CO. If in the current fiscal year , there are postings against this Cost element then you cannot change the Cost element category as indicated by Eli. However , for the next fiscal year , you can change the Cost element category now itself as there would not be any postings in the next fiscal year as of now.

Actually, you can delete cost element in the following period (KA04) - it's just quicker than change, as it takes a lot of time for checkings - and then re-create it (KA01) with a new category. You have to delete the cost element in the period where no postings were done (i.e. starting from today).

Hi Eli ,

We cannot delete it w.e.f today as Cost element category is an year dependent field and cannot be changed during the fiscal year if there is transaction data. So , it can be changed / deleted only from the start date of next fiscal year where there is no data.

You can, as it's not exactly yearly-based, but more validity period-based data. Check CSKB table for reference.

Hi Eli ,

I tried simulating this. But I get an error straight away stating that dependent entries exist in COEP table and that I cannot delete the data. I created a scenario like this - Cost element 200615 created with validity from 01.04.2009 to 31.12.2011 . I have created a Journal entry and posted to a Cost Center using this cost element with the posting date as 01.08.2009 and when I tried to delete the Cost element w.e.f 04.08.2009 to 31.12.2011 I got this error which is normal I think.

What are your thoughts on this ? Can you simulate such a scenario and check ?
