Unable to add former user as a Member

I have a user that used to be in crystalreports.com and was then removed. I need to add him back in as a Member so I can give him admin rights, but there's still the bug that only allows me to import him (from Salesforce) as a Guest. When importing him as a Member I get the message "0 user(s) successfully imported, 1 user(s) failed." I need a workaround or fix because he has to be an admin.

Hi Jessie,

I edited my first post from 8:36AM with instructions that make the process of converting your Guest user to a Member even easier. Please view my edited post at 8:44AM.

Thanks,

Hi Marcus -

I am running into a similar issue, and am seeing errors even when going in through the Create User process inside of crystalreports.com.

I have a salesforce.com user (several actually) that have multiple email addresses, and I have found in the past that dropping and re-adding them as a user in crystalreports.com (typically to ensure that their salesforce and crystalreports email addresses agree) is sufficient to set them up.

Now, however, I have dropped one of the users, but when I try to re-add him I get the following message:

The user is already an account owner or a guest of an account. Please add the user as a guest instead.

I searched in all of the User folders, including Everyone, and this user/email address is not displayed. And I still can't add him back.

When I did add him as a Guest, he did not have access to the reports, and converting him to a Member from a Guest was not successful either.

Any help would be greatly appreciated!

Hi Peter,

That error implies that after you deleted the user from your account, either someone else invited them to their account or they logged in and triggered their own account to be created. Either case is enough to mean they cannot be a member of your account, although they should still be able to be invited as a guest to your account.

When you invited them as a guest, you would still need to put that user into the proper group so that they gain access to the reports intended for that group. Assuming you did that, the user would probably need to pick your account from the drop down list at the top of their page when they logged in. If they really did create their own account then they would default into that when they logged in and would not see any of your reports. By changing the account in the drop down box, they should be able to see your account instead.

However, going through the convert guest to member workflow should have dropped whatever account they had created for themselves and freed them up to be a member of your account. When you say it didn't work, can you give more information on what happened? When you initiate the process, the user should be sent an email saying "are you sure you want to do this" along with a link to agree. When they click that link, it should trigger the deletion of their account. Did they see any error messages?

Thanks

Steve

CRDC allows a user to be a member of one account only. Users can be guests of multiple accounts. If youare still facing this issue, please email

SAP ondemandsupport_crdcom

with the email address of the person you wish to invite. OnDemand support can check whether the user is a member of another account.

HI Jessie,

Couple of things to check first, was the user ever a member before?

1) If no, then that means they have their own report account space which needs to be deleted before you can add that person as a member. To do so add that person as a Guest so that they appear in your "Everyone" group. Right click that user and go to Properties. In the user Properties you will see "User Type: Guest" and beside it a link that says "Convert to Member". This link will send a message to that user which they have to agree to be converted from Guest to Member. What happens is that user's report account space gets deleted in crystalreports.com in order for them to become a Member to your report space. So if they don't have a need for their own report space then they can be converted to a Member to be used in your report space.

2) If yes, then is the user removed from the "Everyone" Group? If so, are you able to add the user as a member by using the Create User option under "Users" rather than attempting to import them from SFDC? In this method you can still add them via their email id that they use in SFDC without having to go through the "Import Users" option that you normally do for SFDC users.

Try method (2) if you haven't had a chance to as of yet. If the user was a Guest before then you'll need to do method (1).

Hope that helps,

- Marcus
