GDS - Registration and Global status changes in Console

We have GDS 1.0.6.3 Build 1 (SP06 Patch 3) with the MDM back end version 5.5.64.71.

We send materials (GTINs) from our SAP R3 system via IDOCs and XI Interface to our GDS repository.

We then send to 1Sync to be used by our retaliers.

When a material gets changed in the console, it updates the Registration Status to "Modified" if it has already been registered or published in 1Sync. We train our business users to recognise this and thus send a Correct as required.

However sometimes we have a GTIN that is common across several target markets and we may be using it for say, two of them and then when we decide we need to open it up to another target market, we send it from R3 to GDS. We find it updates the Global Data status for the GTIN under all the target markets. Example shown below :-

BEFORE sending from R3 this is what is seen in the GDS Console :-

Target Market Registration Status Global Data Status

Netherlands Registered Registered

Switzerland Unregistered Registered

France Modified (old chg) Registered

AFTER sending a new TM from R3 (Italy) :-

Target Market Registration Status Global Data Status

Netherlands Registered Modified

Switzerland Unregistered Modified

France Modified (old chg) Modified

Italy Unregistered Modified

AFTER registering ONLY the Italian EA GTIN to 1Sync :-

Target Market Registration Status Global Data Status

Netherlands Registered Registered

Switzerland Unregistered Registered

France Modified (old chg) Registered

Italy Registered Registered

As you can see after registration or correction, the Global Data Status is updated for ALL target markets which makes sense as it means that expanding the GTIN to another target market affect the global data.

Now what we wnat to do is to be able to identify which changes affect either or both the registration and Global Data statuses, the user in each TM should be able to tell if the Modified status refers to their TM only or just an extension to another TM - at the moment all the users send a correction which is unnecessary and raises a lot of questions as they cannot see wht changes were made.

I have searched the manuals and cannot find more details of these statuses apart from the following :-

􁃀 Registration Status

Status of registration with the data pool

􁃀 GDSN Registration Status

Status of registration with the Global Registry - status is either blank (unregistered) or

registered.

􁃀 Global Data Status

GDS Console internal status noting the status of the global attributes of the item. The

possible values are the same as the Registration Status.

I have run a lot of tests trying out all sorts of scenarios but no clear answers.

I think the Registration Status is only changed to "Modified" for any manual changes in the GDS Console itself.

Changes from R3 affect the Global Data Status and you only need to do a Correct for one of the GTINs (from one of the Target markets - not all of them).

If extending a GTIN to a new TM, also affect the Global Data Status and only need to register this for the new TM.

But would be good for the business to know what changes were made and who should push through a Correct etc..

Hope I am making sense here!!

Any help or more information on these statuses in the GDS Console would be much appreciated.

Many thanks

Hi Caroline,

I understand the nature of the challenge you are facing. With the latest GDS release , 2.0, we provide two tools to approach this, first the "item history" functionality which allows you to check who did, when change what in a specific trade item e.g. value net weight was changed via data import. Second, we automated the publication process so, that once a trade item has been published successfully, changes from the source system are automatically validated and forwarded to the respective trading partners.

In GDS 1.0 you could use the comparson functionality to where the changes occured. In addition it might be possible to develop a check in the inbound mapping that identifiies where a change happenened and mark it accordingly. Further info regarding the status, I will get in touch with the development team and contact you directly.

Thanks and kind regards

Felix
