Period end closing

Hi.

We use Sap Business one 2007 PL 37, and have problems to close period.

We have tested in our test servers, and we found a random problem after make the procedure.

I explain:

Administration -- Utilities -- Period End Closing, in the selection criteria: choose all the accounts, choose the period and the subperiods, the retained earning account and the period end closing account, then execute.

Then in the closing balance dates (due date and document date) corresponding to the period to close, in this case is 2007, we put 31/12/2007 in both.

In Opening Balance (Posting Date, Due date and Document date) put 01/01/2008

Click in approved to choose all de accounts, check in auto remarks which equals to For Closing Period 37 and this corresponds to the period to close.

Click in execute, and we could see that the system works until everything left blank.

I mean the problem is random, because some of the tests we could see the policy in the journal entry, but sometimes not, and therefore I imagine that is not closed if the policy is not in the journal entry.

Everything has been done in testing and not in production, but is necessary in production to avoid accounting problems.

I refer to the movement, transaction.

sometimes appears and sometimes it doesn't appear

Do you expect all accounts should have transactions created for this period end? It is possible that no need to create them for certain accounts.

Hi Eric,

Are you closing both the profit and loss and the balance sheet or only the profit and loss?

Does the period end finalize, meaning is the system going through and it appears as if everything went well but infact it didn't? (if this is the case check if you have any transaction notifications and comment them out and run Period end again)

Does this look like a performance issue? (from your description it sounds like that)

Have you tried only closing parts of the accounts?

Remeber, that some of the tests make the journal entry.

That is the problem that makes it randomly

If you want to test, the correct way is using the same database to try. If you did it once, the 2nd time will never be the same. Period End can be done more than one time. You have to restore the same DB to start from the same point.

R: Both, profit and loss and the balance sheet with and without closing balances.

R: Yes

(if this is the case check if you have any transaction notifications and comment them out and run Period end again)

R: Any notification

R: I think that if, as it does randomly, some tests does the closure procedure correctly and could see the journal entry, but in other tests not.

Have you tried only closing parts of the accounts?

R: No, always all

If every time by the same dm comes out different results, something must be wrong. One of the question asked by Jasper is refer to SP. Do you have SP Transaction Notification in the database?

Hi Eric,

I am refering to the code that can be added by users in the SP_Transaction_Notification. This has in some rare cases (depending on the code obviously) caused the Period End not to close all accounts.

What has happened is that the Period End goes through and everything looks ok. However, if you run the utility again it would still show some accounts as not closed.

After removing (commenting out) the SP_Transaction_Notification the period end closed all accounts.

I would also try to close the Profit and Loss separately first and then the Balance sheet.

Let us know how it goes.

I will restore the database, then delete the SP transaction notificaction store procedure.

At least make the period end procedure

Hi,

You can probably upgrade the customer database in TEST ENVIORMENT to the 2007A latest patch and then check the closing whether the same works correctly or not.
