Report for date validity

Dear SAP Gurus,

We Have a requirement in SAP DMS, where in we maintain the reviewer and Approver in the Characteristics field, and also have a date characteristics defined,

the requirement is when the approver should be intimated well before in Hand to approve or release the document from his side.

based on this requirement it is expected that the system to display all the documents in due for approval by a Paricular approvor in advance before 15 days, 2nd report stating the list of documents still to be approved by the approver before 8 days,

and list of documents pending for approval before 2 days.

Can we delop a report based on the Field values of Additional atb characteristics, like list of document going to expire in 15, than 10, then 5 Days,

Please specify how to go about this

This functionality can be done in Workflow.

when a document is sent to a Approvar for approval the workitem will lie in his Inbox of SAP Business Workplace SBWP.Simultaneously a mail can be sent in Approvars Comapany ID(Outlook).This workitem will lie in his Inbox till he has not executed it.

You can use workflow to send him mail to his Outlook reminding himto approve the document as per specified time.I think this is called excalation in workflow.

So for this the best person to guide would be a good Workflow consulatant.

Hi,

I would develop a report which goes on the date which you define as the release date. The release date can be stored for example in a classification field. Search all documents which are meeting the time limit of 10 and 15 days and send a mail out of the program. You can use the fucntion modules for mail send without any problem. I would recommend to plan the report as background job.

Hi Gurus,

thanks for your response,

We are planning to do this funtionality may be with out use of Work Flow, as per the requirement there will be a Document admistrator who checks different documents pending for approval by different approvers, which is has to be approved in next 15 days,

and he sends a mail of those list to the concerned approver for action.

the same is done with docments which are due for approval in next 6 days,

here in CV04N we can get report based on the Approver name (if ,maintained in Additional data field)

but the problem is how can we get the report which document is has to be approved in next 15 days, or which docments are due for approval in next 6 days, ( even if i maintain date characteristic field in classification)

if some development has to be done how can we go about this Please guide.

In the search function you can also use the '<' and '>' on dates in the classification. you can create a search variant with flexible date calculation which should make it easiert for your document controller.

Hi priya,

This issue could be solved thru Development & workflow.

We can also do thru Classification+ Development

Create a Charecteristic value as "Final Date for approval" and " user responsible"make this assigned to class and in DC10 Fix to the suitable document Type.maintain the value while creating in CV01n for bothe charecteristic

While executing Cv04n , change the Layout incorporating the defined Characteristic value and save it.Now ask the developer to develop a program . Every day the report should run based on both new layout .

Trigger "Send object with Note mail" if the approval date is close for apporval say 5 days before or 3 days before and the program should execute..this could be done in development.the program should identify the "user responsible" that we have maintained and should automatically get pick up in recipient list in Send Email"
