Create PR in reference to Sales Order

Hi,

Our current process for third party sales is that a PDF document is sent to our sales dept. We have a program to retrieve data from this PDF and automatically create a sales order in SAP. We categorize it as a third party order, and as such SAP creates a PR automatically. Our purchasing representative creates PO's daily based on the PR's they recieve.

However, we have additional information that needs to be put into the PR by another department after the sales order is posted (such as additional freight charges). If SAP creates the PR automatically, then there is not enough time for the additional data to be entered into the created PR before a PO is created by purchasing.

The best solution would be to cancel the automatic PR creation (which is simple), and have our other department be able to create the PR with reference to the sales order, and then add their data at the same time and submit it all to purchasing at once. But there is no sales order reference in ME51N... is this even possible to acheive in SAP through standard config?

Hi,

My suggestion would be, once the PR is created by the system automatically, the sales person themselves can add the blocks at the line item level in the PR. This can be done at the Status tab, in the PR line item.

By this way, the purchasing can't create the PO. The sales can inform the other department to add the additional details, the other department after adding the details can remove the block.

Or discuss with MM person to see automatic blocks or release procedures can be applied by the system automatcially once third party PReq, is created by the system. I think applying release procedure to PR document type is another option, in which once PurReq is created by the system, the other department has to release the PurReq after entering the required data.

Thanks for the reply Shiva. I was thinking this exact thing with using release procedures for the PR's, if I could not get the reference by sales order to work. It will be just a bit more work with security authorization changes since there are many different representatives in the adding department, but the result should be the same.

Hi,

You can get the sales order reference field in ME51N.

When the user creates a PReq, for the line item, enter 3 as account assignment, S as item category.

This will result in showing the sales order field in Account assignment tab.

But remember, you need to remove the PReq details at the schedule line category in SPRO, if you intend to introduce manual PReq creation.
