Document Status

Former Member

Hi Guru's

i av set the 3 status for a document type.Status are Work Request,Rejected & Released

Once the document is created it will be in the primary status called WR.After WR user can select either relased or rejected.

But once the document is set to released status further no action is to be carried out for the document ie document status has to be locked.

In customisation for Released status i av kept the type as "S" but then also document status can be g changed to Rejected status which shld not happen...

Kindly let me know how to solve this issue..

Regards,

Bhanu

Hi Seema,

Thanx once again....

A small correction...once the document is rejected there may be a chance of changing the status to release from rejected ( As decision taken by the external party)

While i change the status to release from rejected status, it should be locked..No changes should be allowed further...

Hi,

Yes! that is right.

While you change the status to release from rejected status, it should be locked that means you should configure in release status the status type to be defined 'S"(Locked) and not in rejected status hence no changes will be allowed futher in release status.

Hi Seema,

1) In Rejected status we av defined the Prev1 as WR status.(Status is not locked)

2) In Released status we defined the Prev1 as WR status.(Status is locked "S")

We can able to change from WR to Rejected OR Release status.

While we are trying to change the status from Rejected to Release we are getting the message as "No values found"..

Hi Bhanu

Try adding the predecessor staus rejected to released.

But it will be better if you cam maintain another status after reject and then release from that.

Hi Bhanu,

Exactly you are processing right way but to proceed further status from Rejected to Release, in WR status defined the Prev. 2 as status RJ (rejected).

Hence your status net work will be

WR->release/rejected

if you select release status N/W will be WR-> Release

If you select reject

It will be WR-> reject-> WR-> reject/release( you select release)

Thus the process will complete. To check go to CV02N change the created DIR,

go to Extras-> status net work & find the graphical representation.

Hi Seema,

Thanx once again for your reply....

Following are the below status has been set..

1 ) For WR status Type : P , Prev1 : Released and Prev2 : Rejected

2) In Rejected status Prev1 : Work Request

3) In Released status Type :S, Prev1 : Work Request

While i want to change the status from Rejected to Released still i m getting the message as "No Values found"

Here onething if i dont give any preceeding status for any of the status, Status network will be

1) While creating Document it will be in WR status (Type "P").--> OK

2) In change document we can change the status to Rejected/Released from WR --> OK

3) Again in change document we can change the status from Released to Rejected though we av maintained the Type as "S" for released--> Which shld not happen

Expecting for your reply...

Dear Bhanu,

it seems that both the things one to lock doc once released and second reject after released are contra dictionary and can not be meet at a time.

If your reqt is to have functionality to change the released doc to rejected status then define status RELEASED as precedencer of status REJECTED in status n/w. In status n/w u can have all the flexibilities b/n processing of doc among various statuses so pls try to use the same.

if not working then clearly mention your exact requirement in reply.

Hi

Please give status network as follows

Work Request (WR): Status Type : Initial Status ( I ) Status. Preceding Status : "RJ"

Released (RE) : Lock Status ( S ) Preceding Status " WR" and "RJ"

Rejected (RJ) : No Status Preceding Status " WR"

Please reply if the probelm is not solved

Hi Aby,

Thanx a lot.....Ultimately the problem is solved...

But here one thng....In WR status give the type as "P" instead of "I"...so that while we change the status from rejected to released it shows the option of selecting only released status...

While if we give the type as "I" it shows the option of selecting WR/ Released..

But once again thank u very much aby!!

Hi!

I don't know if this is of any help but here is an alternative solution to solve this with autorization object C_DRAW_STA. This will let you control what status the user can set.

Hi Bhanu

Check the Preceding status you mentioned for Status "Rejected".. If you have given Released as a Preceding status to "Rejected", then it will allow to change to Rejected even if Released is in "S" mode

Dear Bhanu,

in case you set a status of type 'S' then the system should lock the most fields and functions for editing originals for example.

Normally you need to change th status to be able to made changes to the document info record again. So to avoid that the 'Released' status is the last available status please change your status network for the document type. You can do this in transaction DC10 under 'Define document status'.

Here you should add a kind of loop which enables your user to change the 'release' status to some other status which allows corrections.

At the moment you have the following status:

Work Request >> Released >> Rejected

I would recommend you to add maybe a status 'Correction'. Then define status 'Released' as a

pre-status for 'Correction' and the other way round. Then your user will be able to switch from status

'Released' to 'Correction' and edit the document. Afterwards the status can be switched back to 'Released'.

I hope this explanation could be useful for you.

Best regards,

Christoph
