Groupware Integration for sync of meeting requests and contacts

Hi,

We have a requirement in our project, can someone please confirm that this can be acheived with server based groupware integration.

1. Metting requests: Whenever we create activities(of type review), a meeting request should be sent to all the attendees and should block the calander of the attendee.

2. User should be able to see the availablility of the attendee, like scheduling assistant in outlook.

3. Meeting requests should be sent from a generic ID rather than the individual ids. (eg., crmsupport)

4.Contacts should be synchronized automatically between SAP CRM to Outlook private folders and vice versa.

We are currently implementing CRM 6.0.

We are finding a challenge from our basis team that they cant provide generic access for accessing the contacts on the exchange server.

Can anyone please guide us how to go about this. Will server based groupware integration work for this scenario..

Regards,

Karunakar.

    Hi,

    My Replies to your Queries:-

1- Whenever any activity will be created you have the option of replicating Meetings to Invitees -directly to user's Calendar or sending a request for manual approval. That setting is done in the Groupware connector Administrative Tool ( ie. Direct Calender Entry ot Invitation Request)

2- To your second query I am not sure but I think if by direct calender entry scheduling assistant in outlook should be working.

3-System takes the email ID mentioned in the BP. for your requirement i would suggest you create a BP with generic ID and create activity from this BP.

4-For Private contact folder synchronisation you need download object BUPA_REL in transaction R3AS .

So I think Server based GWI might solve your requirement.

    Regards

    Arup

      Hi,

I have seen your post in SDN. Did you get you solution abt private folder integration? I am still facing issues here with the same.

so If you have any good document can u pls forward the same to me.

so baically i did all possible things for private foder synch mentioned in stnadard SAP docuemnts. but they are very clumsy.

the issues which i m facing here are below :

Requirment -> we need implement the private folder integration using sbdoc for our client here. we have to somply transfers all the contacts to employees private folder.

I went throught the document/blog u posted it is really good. however I have some big questions. below please find some of them , also apart from your blog if u have really any good doucment which u created or found somewhere , if u can forward the same here will be greate help.

We did all possible config which I found in net but facing below issues :

      Questions :

      1. do we have to create 2 separate sites or only one site of type sbdoc? and also tell me what all subscriptions i need to assign to them? there are 3 subsription i created , now do i have to assign them to a single site or I have to create 2 different sites - subcriptions : 'Employee' , E-mail Information for Groupware and subsrtiption created with CONGEN_OBJ_WRT. do i have to create subscription for CAPGEN_OBJ_WRITE as well?

      2. do i have to laod the BP data to CDB (we dont want to transfer relationship data as of now)?

      3. how actually private folder works? our requirmenet is we have arnd 10 users to use our application so when they create or update any contact in CRM , that contact should flow his/her private folder. so for this how actually standards checks that who is user changing/creaton the BP. Is it thru created_by of BP. please explain a bit.

      4. do i have to laod all the employee/users (who has valid mail id and private mail box (folder)) to MAPBOX? if yes then how?

      5. How this userlist.xml created and who provides data to it? is it grpware connector? do i have to have all of my user/employee (who are participating data exchange from CRM to outlook provate folder) into USERLIST.XML file?

      6. what else we need in grpware side in terms of config or setup. we already have a valid user in CRM and grpware with private folder for this user and a valid email id for this user arleady set up. Plsease tell us if there anything apart from this?

Please help me I really stuck here and not able to proceed.

      Thanks,

      Vivek.
