Appraisal Workflow in ECC 5.0

Hi Experts,

Can someone guide me with the appraisal workflow's which i need to activate in ECC 5.0. I have some custom requirement but am not able to find the exact workflow which gets triggered in background.

Hi Aman,

You can configure the Workflow with UWL notification. Please configure that workflow task in HAP_DOCUMENT -> document_portal.htm page.

And from portal side they has to configure the UWL notification. This will send the mail notification to employee's ESS.

Hi Aman,

You can trigger the custom workflow by configurating in PHAP_CATALOG. For any status change or sub-status change you can give the trigger element on PHAP_CATALOG->Status flow->workflow event.

The BOR used is APPR_DOC. We are not using all the events in this BOR. If you want you can also create a Event in this BOR and use it for triggering workflow.

Dear Ganesh,

thanks for the inputs. its picking the workflow. We configured the Appraisee - Approve Request in the "In prepration" status flow.

My main issues is to send emails to the appraisee. that there is open appraisal in His ESS.

Eg, when HR release the appraisal for a perticular employee, he should get an intimation e-mail.

Please suggest.

Hi Aman,

Do u need mail / the appraisal document itself ?

If a manager (appraiser) creates/approves a appraisal document of the appraisee( his subordinate), the appraisee can see the appraisal document.

1) in PHAP_CHANGE transaction /

2) run se80->BSP Application -> HAP_DOCUMENT-> pages_with_flow_logic -> documents_received_open2.htm (right clikc ad test) this will list out the appraisal document whhich appraisee belongs to .

If its workflow thing, you to configure in phap_catalog as said by Mohan)

Hi Aman,

I have one solution for your problem.

You can achive the Mail trigger with the use of a standard report RSWUWFML2. This report needs to be scheduled as a job(Say every 30 minutes untill your appraisal cycle is closed). Once this job is scheduled with the required data in the selection screen (Task, Text) a mail will be sent to the Agent when a workitem is generated by the underlying task/workflow.

For more info look at the help/documentation of this report or you can search the SAP notes for RSWUWFML2.

I have done this in the past for triggering mails and it works perfectly fine.

Hi Aman Ahuja ,

I would go for Kumar Ganesh solution. However, the standard workflows delivered from SAP do not contain an mail sending step. I have solved this problem for customers by copying the standard workflows in question and adding a send mail step. Once your workflows are created you can simply deactivate the triggering event from the standard workflows and activate the triggering event in your custom workflows.
