Crystal Reports XI "Max records limit reached"

I am getting the error "Error in File <file>: Max processing time or Max records limit reached" when I try to run a Year to date report. I am estimating that the report finds ~ 40,000 records. If I only include half the year, then it runs fine, but once I go over half a year, it gives me the error.

I have already changed the limit to 40,000, 200,000, 2,000,000, and Unlimited in RAS (and restarted it) and I get the exact same result every time. This leads me to believe that the Limit is hard coded somewhere and changing the option in RAS doesn't change that hard coded limit.

I have seen a number of forum posts that all have the same problem. Is this "feature" not working in CRXI yet?

Any Help would be appreciated.

    I finally found it. There is an equivalent server in CRSXI. It's the Page Server, but the Central Configuration Manager does not show you all the properties of this server.

    It on the website config only.

    Central Management Console > Servers > <servername>.pageserver

    If you just bump it up by a factor of 10, that should do most people. Increasing this value here fixed my problem. Sure would have been nice to have that setting in both places, so I didn't waste so much time looking for it.

      Nevermind, figured out that with Crystal Server 2008 it's the CrystalReportsProcessingServer that has the record limit parameter to set. I changed it to unlimited (0), restarted the processing server and the report runs fine.

    From the issue description it seems that whenever you try to run the Year to date report, you receive "Error in File <file>: Max processing time or Max records limit reached" error message.

    Please let us know the following information:

    1) Exact version of Crystal Reports Designer ( To get this information, Open Crystal Designer. Go to Help> About Crystal Reports.)

    2) Type and version of the Database.

    3) Connectivity type (ODBC, OLEDB and Native) used to fetch the data from database.

    4) Does the issue occurs only with single report?

    5) Are you using any complex formulas or subreports in the report?

    Also make same change in crystal report page server make "Database Records to read when previewing" to unlimited and restart the server.

    Progress Database (Don't know version)

    ODBC Connection

    I only get the problem with this report

    No complex formulas

    To Vinay Veluswamy:

    There is no Unlimited option anywhere in the Crystal Reports Page Server Properties page.

      Thank you for the update. I checked the supported platform document for CR XI R1 and found that Progress Database is not officially tested with CR XI R1 and hence we cannot assure that CR XI R1 will work successfully with Progress Database. However to further troubleshoot this issue; please let us know the following details:

      1) Are you getting the issue on single machine?

      2) What happens if we use the OLEDB connection instead of ODBC?

    It shouldn't matter how we are getting the records, the fact of the matter is I have more than 20,000 records that are found, and that is exceeding the 20,000 max limit that CRXI is imposing.

    I tried limiting it to 10 max records, and all my other reports that pull hundreds of records still work fine, and this report I am working with works if I use only half the year. Anything more than half jumps it over 20,000 records, prompting the error, regardless of what the limit is currently set to.

    The problem is the limit on the number of records, not where the records are coming from.

      There appears to be a bug in Business Objects XI. When record limit is set to "Unlimited" in a page server's Properties tab, a 20,000 limit is still imposed. You can verify this by clicking on the "Metrics" tab next to the Properties tab.

      My solution was to use an extremely high record limit, such as 10,000,000. If you have more than one page server, you need to try to update both. One will probably end up saying "Automatic" in the Properties tab, but the other will show 10,000,000. This is okay, everything should still work.

      This problem drove me nuts today at work and I wanted to post a response here for the benefit of others.

    I realize I didn't answer your question...

    This error is coming up when I run the report using the BusinessObjects InfoView website to run the report.

    I did try using the OLEDB connector, instead of ODBC, and I get the same error on the website.

      I had the same problem. It's not depend on OLEDB or ODBC connection. I get over 85000 records from database and exception has rised only then rowcount exceeds about 86000 records. The problem was resolved by set to "Unlimit" each of two parameters for both PageServer and RAS (Report Application Server)

      See properties for both servers, may be your problem will disappear.

      Also, probably, you can't notice any changes in RAS and PageServer, until the "refresh delay" of report has expired. By default it's set to 1800 seconds, and then this time interval is not expired - server show you previous result: (exception).

    I am still having this error.

    I have a brand new server running a fresh install of Crystal Reports Sever XI Release 2 now. I notice from another forum post about the same error, that CR Server 2008 has another server in the Central Configuration Manager, namely Crystal Reports Processing Server, that has a records limit that needs to be adjusted to break this limit.

    Is there an equivalent server in CR Server XI R2? Or is there a registry entry I can modify?
