Our TEST BOE system (4.1 sp9) is currently pointed to our PROD databases. We are just starting to implement self-service (for Crystal and WebI documents), however, we want to make sure that users are not by-passing protocols and using TEST for their results. Therefore, we want to give them information to validate that the report runs,etc., but not complete information so that they can no longer use TEST as a production system. Is there a way to do this as Administrators? (Universes are developed by several departments outside of the IT - Analytics department, so we cannot do it in the universes.)
You can't limit the number of records outside of the universe. However, you can limit the output size of Webi reports if you go to Servers >> Web Intelligence >> WebIntelligenceProcessingServer and edit its properties. Scroll down to the box labelled "Web Intelligence Common Service" and set the "Maximum Character Stream Size (MB)" and "Maximum Binary Stream Size (MB)" to fairly low numbers, your users will not be able to export Webi data for large data sets.
Unfortunately, there are no similar settings for Crystal reports.
If you have multiple Webi Processing Servers on your test system, you could set up security on them so that the test users only have access to a Webi Processing Server that has the limits set and admin users would only have access to one that doesn't have them set.
Also, I haven't tried this, but you might be able to set up a security thing in the universe that would work based on a Profile to limit the number of records. In your Test environment, put the Everyone group in the profile and in the Prod environment, don't have any groups in the profile. I don't know if it's possible, but it might be something to look at.

There is no way to implement to limit the results for one purpose, and others for full purpose on the same system.
