Hi Rakesh,

It's a little unclear from the description but is it only documents from a specific folder or repository which you're unable to view? Also, how are you viewing this content, is it through a specific iView? Are you receiving an error message of any type when attempting to view the content?

The only permissions required to view content within a KM repository (or specific location within a repository) is that the end user must have at least 'Read' ACL permissions on the resource. This of course is provided that document is actually in status 'released'. 'Roles' are irrelevant unless one of the roles assigned to the user has also been included in the ACL permissions on the content.

If a publishing workflow is in place, users with read access would only see such documents once they have been released. Documents which are in status 'In process' would only be viewable by end users with 'read/write' or 'full control' ACL permissions assigned (including admin users).

Can you confirm if there is such a publishing workflow in place in this scenario and what level of ACL permissions has your user been assigned on this content?

Kind regards,

Cathal

Hi Cathal,

Thanks for your reply.

We are not able to view any files at the location root->documents in KM content.

Thanks,

Hi Rakesh,

Does your user have permissions assigned on this content as per my original reply?

If you enter the following url directly into the browser (substitute your own hostname and port in the placeholders), what is displayed?

http://<hostname>:<port>/irj/go/km/navigation/documents

This should display the contents of the documents repository via the standard KM Navigation iView provided that your user does indeed have the required permissions assigned to view the content stored in the /documents repository.

Kind regards,

Cathal

Hi Cathal,

Thanks for your reply.

I have tried this link http://<hostname>:<port>/irj/go/km/navigation/documents but not getting any files, only folders are visible. 😞

Where to check the ACL permission?

Thanks & regards,

Rakesh Kumar

Hi Rakesh,

If you navigate to the /documents repository using an admin user (via Content Administration > KM Content), you can then select the context menu icon next to any files or folders here and see the permissions assigned to them by selecting 'details > settings > permissions'.

Here you will be able to see what roles, users and user groups have access to these resources and what type of access they have. The files will only be displayed to end users who have at least read permission assigned to them. If the end user does not have permissions to see these resources they would see only a blank folder instead.

Let me know if your user the issue persists even after your user has been added to the permissions on these.

Kind regards,

Cathal

Hi Cathal,

We have checked the folder permission and it is assigned to Everyone group and the access is Full Control.

Thanks & regards,

Hi Rakesh,

What authentication scheme is being used on the iView? I'm just wondering if the user accessing it has been authenticated in the portal? If this was being accessed by an unauthenticated user (ie. if the authentication scheme on the iView was set to 'Anonymous') then they would not see content unless the 'Anonymous' group was provided with ACL permissions.

However, if the user is indeed logged into the portal they should be able to see this content with the Everyone group having been given 'Full Control' permissions. If this is not the case I would recommend opening a support incident with SAP in component EP-KM-CM as I think this would need more in-depth investigation than I can provide through this support channel.

Thanks for the valuable comments. The permission was missing for the document folder. Provided the required permission and it works.
