Assigning Employee to Partner Roles (Auditor) in Audit Management

Hi All,

I need to assign employee details like name, mail Id, address, contact number to the partner roles like Auditor, Person responsible for action, Person responsible for area, Approver etc in Audit components create transaction PLMD_AUDIT.

I know it should be integrated to HRM, but i would like to know the steps or procedure to get employee name in the partner roles. Let me know who has to do/create this integration either HR or PLM functional consultant.

Hi Jan,

I tried BP transaction but i get error like

"No internal standard grouping exists

Message no. R11117"

What are the prerequisites for creating internal standard grouping? and what is the transaction to create?

Hello Ram

In customizing; Cross Application Components->Sap Business Partner->Business Partner->Basic settings->Number Ranges and Groupings you have to maintain number ranges and groupings.

Typically: Grouping 0001 Internal number assignment, Grouping 0002 External number assignment.

Hi Ram,

The employee records has to be maintained in the HR tables.To make the employee as BP you need to go for BUM1 transaction.

Hello Jan Eric,

Fine, I created number range and group in spro. now i can able to open the transaction BP,

Steps to be carried out,

1. I should select create PERSON option

2. I should select BP role as employee and enter name, contact details and assign the user ID in the Identification tab.

Now my problem is I am not getting Employee in BP role in dropdown list to carry out 2nd step (given above)

How to bring employee in the business partner role in BP transaction?

Sorry, but I cannot help you here.

I am in 4.7, and in my system the role BUP003 Employee is one of more then 70 standard roles to select from in the drop down menu.

Can you tell me what are the steps to carry out to get emp names in PLMD_AUDIT transaction after maintaining BUP003 employee in BP transaction

Is it the only step to carry out or any other data to be maintained in anyother transaction?

Hi Ram

In PLMD_AUDIT, Audit Component Audit, Tab "Participnt" you select which role the business partner should have in the Audit (Lead auditor, participant etc.). Then you assign the buiness partner number (created in BP) to that role. That is all you need to do.

You have direct access from AM to some information maintained in BP.

In our company we use Audit Management for vendor audits. We create the company, and all the participants from the vendor's side as Business partners, and create a relationship (in BP) between the company and the business partners. In the Audit, these are given the role as Vendor, and appears in the Audit Report together with the participants from our company. We are quite happy with the solution.

Hi Jan,

When I try to create business partner in PLMD_AUDIT and assign it to various partner roles like Auditor, Responsible person etc. I am getting error as " Geocoder SAP0: Country specification is (Customizing) " What should be done to avoid this error?

Found details in spro:

For "SAP0 Geocoder" there is no function module and destination assigned, Is it the cause of error? If it is the case then what should be assigned and Let me know the standard function module.

Hi All

I have this problem, I created employees with Tcode BUM1 and I assigned them in PLMD_AUDIT. When I try to use the reminder function PLM_AUDIT_REMINDER_01, I don't get any result. When I created employees, I assigned the sap user, I don't know what else I have to do.

I appreciate any help.

Hi Ram,

In order to assign employee details like name, mail Id, address, contact number to the partner roles like Auditor, Person responsible for action, Person responsible for area, Approver etc in Audit components.

You need to maintain it in the BUM1 tcode(create business partner).Once you provide the name,email id,address,contact number it would automatically available in the partner tab of audit components.

If you have less data,then go for manual process,else go for a bdc program to maintain the values for the partner roles.
