Hi all,

1) When A substitute B, is there any setting that an email notification will be send to B's external mailbox (MS Outlook)?

2) How can I assigin a certain email to flow to a certain folder automatically when it reach my inbox? For example, if there is a release PR email alert, it will flow to folder A1 automatically. And if there is a release PR email alert on-behalf of somebody else, it will flow to folder A2 automatically?

3) Is there any audit trail for this substitution function? Is there any report to tell me that for this month, how many PR release by B on-behalf of A? Or if I were to develop a customized report, what is the tables to work with?

hi

for autoforwarding there are two ways

either go inside the so16 nand maintain your user groups to which you want to send the workitems

or there is a utility of distributiuon list which you can use,where you can maitain the shared folder which can be seen by the user only authorised by you.

regarding the reports ,you have to create a customised reports because for these tasks there is always a trcae active inside the system which keep track the flow of documents from one user to other,trace is active by default

so you need to create a report which will pick the data from the trace table

Hi Ashish,

My question is actually not about auto-forwarding. It is about substitution to release PR on-behalf. I actually manage to get the substitution done. But I got a problem over is that my user request whether what we can get in SBWP can be further enhance by customizing. I'm not sure about it and how to go about it.

Whether it can be done in a way that :

1) when A delegate B as his substitute, is there any setting that an email notification will be send to B's external mailbox (MS Outlook) to inform B about the substitution?

2) delegated email will flow into a certain folder instead of going into B's inbox and mixing with B's emails?

What is the trace table name to develop a customized report?

Appreciate if you can provide me more detail information.

i was saying about autoforwarding because you are trying to delegate the responsiblity to other person

so in that case autoforwarding can be used for ur purpose because same mail will be send to both A and B and b can check if A is not available

i am not sayin its a standard way but a kind of solution

regarding your first requirement that can easily met by using workflows ,standard workflows are available ,try implement those

and if you want second thing you mentioned then you can do as i said in my earlier post that create a shared folder in distribution list or use t code so28

there A can authorise B to see th text what all is coming inside that folder

but it is the solution with in the SAP not outside like internet adresses.
